BASSC IT Admin/Business Support Services Specialist
Job Description Summary: This position provides support for the Buenos Aires Service Center (BASSC) IT Function team and offers executive support for the IT Function Site Lead. The role manages various workplace needs, assists in organizing IT Function activities, supports travel and visitors, and collaborates with admin professionals across functions to support cross-functional, all-BASSC activities.
Responsibilities:
- Executive Support: Performs duties for the IT Function Site Lead, including:
- Managing and coordinating calendars to align with scheduled activities and meetings.
- Arranging travel and providing logistical support.
- Planning and organizing activities such as IT Town Halls, diversity events, job fairs, focus groups, and other IT activities.
- Assisting in planning and documenting itineraries for business visitors.
IT Function Event Management: Manages logistics for BU/ENG activities, including venue, food, transportation, invitations, registration, and itineraries.Vendor Administration: Coordinates with vendors for sourcing, contracting, invoicing, and payments following Chevron’s procurement policies.Time Administration: Maintains work schedules, generates reports, and handles queries related to work hours.Onboarding Support: Assists in the onboarding process for new hires at BASSC.IT Communications: Supports IT communication efforts and manages distribution lists.Leadership Meeting Support: Coordinates scheduling, captures meeting notes, follows up on action items, and prepares presentations.Network Participation: Collaborates with the global admin community to share best practices and standardize processes.Facilities Coordination: Acts as the point of contact for local facilities management and coordinates facilities activities related to the IT function.Qualifications:
- At least 2 years of experience in administrative or business support roles within a multinational company.
- Proficient in MS Office Suite.
- Excellent written and verbal English communication skills.
- Strong interpersonal skills and ability to build relationships across disciplines and geographies.
- Detail-oriented, well-organized, and capable of managing multiple priorities under tight deadlines.
- Proactive, autonomous, and able to anticipate needs.
- Experience in organizing office events and coordinating logistics.
- Analytical and problem-solving skills.
