Role Context

The Wellness Experience Agent is the first point of contact for guests at reception desks, the hotel lobby concierge, by telephone, and through email. The role requires detailed service knowledge, discretion with personal information, accurate appointment scheduling, and seamless coordination between guests, therapists, attendants, and supporting resort teams.

Key Responsibilities

• Welcome spa and wellness guests warmly through every contact channel.
• Listen carefully and ask appropriate questions to understand individual needs.
• Handle personal or health-related information calmly, professionally, and without judgment.
• Explain available Spa, Salon, and Fitness Centre services.
• Provide accurate information about treatments, durations, prices, features, and benefits.
• Recommend services that align with guest preferences and objectives.
• Maintain detailed knowledge of Spa Boutique products and accessories.
• Recommend appropriate home-care products and routines.
• Contribute to agreed monthly boutique sales targets.
• Create, amend, and confirm reservations accurately.
• Schedule appointments to optimize treatment-room use and commercial performance.
• Check guests in and out and process billing correctly.
• Coordinate guest requests and movement throughout the wellness facility.
• Communicate detailed guest information to therapists and attendants.
• Protect the confidentiality and privacy of all guest information.
• Enter complete and accurate data into SpaSoft.
• Maintain active waiting lists and accurate records of guests who could not be accommodated.
• Complete next-day confirmation calls, emails, and messages.
• Print confirmation letters and prepare required files.
• Prepare gift certificates and gift cards and arrange advance payments.
• Maintain reception supplies, spa menus, collateral, aromas, and ambience.
• Keep the reception workspace clean, orderly, and welcoming.
• Assist with boutique, inventory, changing-room, and relaxation-area operations.
• Support wellness demonstrations, promotions, and events.
• Report faulty equipment to management and record issues in HOTSOS.
• Coordinate equipment concerns with the Facilities team.
• Complete opening and closing responsibilities.
• Record and communicate complaints promptly to the Manager on Duty.
• Attend daily line-ups, departmental meetings, training, and workshops.
• Answer general questions about the hotel and resort.
• Follow administrative, health, safety, grooming, and hygiene procedures.
• Maintain flexibility regarding work locations and schedules.

Ideal Profile

• Previous experience in a luxury day spa, resort spa, or hotel wellness facility is preferred.
• Front Office, guest relations, Club Lounge, hotel reservations, or similar experience will be considered.
• Retail experience involving skincare or wellness products is advantageous.
• Medical reception experience may also be relevant.
• Basic computer literacy and working knowledge of Microsoft Office.
• Experience with SpaSoft or comparable spa-management software is beneficial.
• Excellent telephone etiquette, questioning, and listening skills.
• Confident handling sensitive information with discretion.
• Calm and methodical while coordinating multiple tasks.
• Friendly, personable, and genuinely interested in helping guests.
• Polished grooming, professional posture, eye contact, and natural communication.
• Willing and able to stand for extended periods.
• Comfortable working in different spa areas when scheduled.
• Flexible regarding shifts, weekends, and public holidays.
