The Training Administrator provides high ‑ quality administrative and coordination support to the Training function of Human Resource Department.
MAIN RESPONSIBILITIES:
Strategic
N/A
- Process Training ‑ related financial transactions through Dynamics, including training costs, vendor payments, overtime, and reimbursements.
- Track Training expenditure against the approved annual budget and prepare regular cost and variance reports.
- Coordinate with Finance, Procurement, and HR teams to ensure timely and accurate financial processing.
Stakeholder / Customer
- Act as the primary administrative point of contact for internal departments on training coordination matters.
- Liaise with external training providers and awarding bodies to support scheduling, documentation, and compliance requirements.
- Support audits, reviews, and visits from external bodies by ensuring required records and evidence are available and accurate.
Operational
- Coordinate and administer training activities, including scheduling, attendance records, evaluations, and post ‑ training documentation.
- Maintain accurate record ‑ keeping, document control, and data integrity.
- Produce regular training, attendance, and performance reports for management and internal stakeholders.
- Review internal and external training documentation for accuracy, completeness, and compliance with approved templates and standards.
- Support internal audits of training’s administrative processes and implement corrective actions where required.
- Coordinate travel, accommodation, and logistical arrangements as required.
- Maintain confidentiality of all training, employee, financial, and performance information.
Capability / People
- Demonstrate professional service standards and a customer ‑ focused approach in all interactions.
- Maintain up ‑ to ‑ date knowledge of HR-Training systems, tools, and administrative best practices.
- Work collaboratively with HR, Operations, Finance, and external partners to support effective learning delivery.

Required
Education
Diploma or degree of any discipline.
Degree in business administration, human resources, or a related field (preferred).
Experience
- Minimum 3 years’ experience in an administrative role, preferably within HR or Training administration.
- Experience working with training records, databases, or HR systems.
- Exposure to finance or procurement processes is an advantage.
5 years of experience in administrative and executive support roles in rail industry
Skills / Training
- Fluent in English (written and spoken).
- Proficient in MS Office applications, particularly Excel and Word.
- Strong organisational, communication, and time‑management skills.
