Job summary

Shun Shing Group is seeking a Trade Operations Analyst to support the Local Business Development team in managing commercial administration, trade transaction coordination, and operational controls throughout the customer lifecycle.

You will prepare offers, coordinate execution, maintain documentation, support reconciliations, and ensure alignment between agreements, invoicing, and ERP records, acting as a central liaison across Business Development, Finance, Bills, Operations, and customers.

Qualifications

• 3-5 years in commodity trading, shipping, logistics, commercial operations, trade finance, or sales support.
• Comfortable reading contracts and commercial agreements.
• Strong Excel and ERP skills.

Responsibilities

• Prepare and issue customer offers, quotations, and commercial proposals in line with approved terms.
• Maintain quotation registers and monitor offer status.
• Support customer onboarding documentation requirements.
• Coordinate follow-up actions from customer negotiations.
• Assist Business Development with commercial reporting and pipeline tracking.
• Monitor transactions from contract execution through invoicing and settlement.
• Coordinate activities between customers, BD, Finance, Bills and Operations.
• Ensure documentation and transaction milestones are completed on time.
• Maintain visibility of transaction status and outstanding actions.
• Maintain complete transaction files and supporting documentation.
• Track amendments and updates to commercial agreements.
• Ensure stakeholders use the latest documentation.
• Support compliance with internal procedures and record retention.
• Review customer statements, invoices, and transaction records.
• Investigate discrepancies and coordinate resolution with stakeholders.
• Ensure Oracle reflects transaction activity.
• Support month-end reconciliations and reporting.

The Trade Operations Analyst will support the Local Business Development team by managing commercial administration, trade transaction coordination, and operational controls throughout the customer lifecycle. The role will be responsible for preparing customer offers, coordinating transaction execution, maintaining accurate documentation and records, supporting reconciliations, and ensuring alignment between commercial agreements, invoicing activities, and ERP records. By acting as the central coordination point between Business Development, Finance, Bills, Operations, and customers, the role will enable the sales team to focus on business development and customer engagement activities.

Key Responsibilities

Commercial & Sales Support

• Prepare and issue customer offers, quotations, and commercial proposals in accordance with approved commercial terms.
• Maintain quotation registers and monitor offer status.
• Support customer onboarding documentation requirements.
• Coordinate follow-up actions arising from customer negotiations.
• Assist the Business Development team with commercial reporting and pipeline tracking.

Trade Transaction Coordination

• Monitor transactions from contract execution through invoicing and settlement.

Reconciliation & Data Integrity

• Review customer statements, invoices, and transaction records.
• Investigate discrepancies and coordinate resolution with relevant stakeholders.
• Ensure Oracle records accurately reflect transaction activity.
• Support month-end reconciliations and reporting activities.

Candidate Profile

• 3-5 years in commodity trading, shipping, logistics, commercial operations, trade finance, or sales support.
• Comfortable reading contracts and commercial agreements.
• Good understanding of invoicing, receivables, and reconciliations.
• Strong Excel and ERP skills.
• Able to deal confidently with customers and internal stakeholders.
• Highly organized and detail-oriented.
