We are seeking a Trade Finance Operations Coordinator who will support the day-to-day execution and administration of trade finance transactions related to the company s commodity trading activities. The role will coordinate with banks, traders, finance teams, logistics teams, counterparties, and internal stakeholders to ensure transactions are processed accurately, efficiently, and within agreed timelines. The position requires strong attention to detail, good knowledge of trade finance processes, and the ability to manage multiple transactions and documents simultaneously.
Trade Finance Operations
- Coordinate the processing of trade finance transactions from initiation to completion.
- Prepare, review, and maintain trade finance documentation including invoices, purchase and sales contracts, bills of lading, certificates, packing lists, insurance documents, and other supporting documents.
- Coordinate Letters of Credit (LCs), documentary collections, bank guarantees, and other trade finance instruments.
- Liaise with banks regarding LC issuance, amendments, document submissions, discrepancies, settlements, and related queries.
- Monitor transaction status and ensure all required documents are submitted within agreed timelines.
- Coordinate with traders, finance, logistics, and counterparties to resolve documentation and transaction-related issues.
- Maintain accurate records of trade finance transactions, bank communications, and supporting documentation.
Bank & Payment Coordination
- Coordinate with relationship banks on trade finance facilities, transaction processing, and documentation requirements.
- Follow up on payment instructions, trade settlements, financing requirements, and bank confirmations.
- Track utilization of trade finance facilities and maintain relevant records.
- Support reconciliation of trade finance transactions with finance and accounting records.
Documentation & Compliance Support
- Review trade documents for completeness, consistency, and compliance with agreed transaction requirements.
- Identify documentation discrepancies and coordinate with relevant teams for timely resolution.
- Maintain proper filing and audit trails for all trade finance transactions.
- Support internal and external audits by providing required documentation and transaction records.
- Follow the company’s internal policies, procedures, and applicable trade finance requirements.
Reporting & Monitoring
- Maintain daily and periodic trade finance transaction trackers.
- Monitor outstanding documents, pending bank transactions, LC expiries, payment due dates, and settlement timelines.
- Prepare regular reports and updates for management on transaction status and outstanding matters.
- Escalate delays, discrepancies, or potential operational issues to the relevant manager.
Stakeholder Management
- Work closely with Commodity Traders, Finance, Treasury, Logistics, Operations, and Management.
- Maintain effective communication with banks, suppliers, customers, shipping agents, and other external parties.
- Ensure timely follow-up on transaction requirements and outstanding documentation.
REQUIREMENTS
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or a related field.
- 3–6 years of relevant experience in Trade Finance, Banking Operations, Commodity Trading Operations, or a similar role.
- Practical experience handling Letters of Credit (LCs), documentary collections, bank guarantees, and trade settlements.
- Good understanding of import and export documentation and international trade processes.
- Experience coordinating with banks for trade finance transactions and documentation.
- Strong knowledge of Microsoft Excel and ability to maintain transaction trackers and reports.
- Strong attention to detail with the ability to identify documentation discrepancies.
- Good coordination and communication skills, with the ability to work with traders, banks, finance, logistics, and external counterparties.
- Ability to manage multiple transactions, follow up on outstanding requirements, and meet strict deadlines.
- Proficient in both written and verbal English communication.
- Experience in commodity trading, particularly gold, precious metals, or other physical commodities, will be an advantage.
- UAE experience in trade finance or banking operations will be preferred.
