Job summary

Siemens Smart Infrastructure - Grid Software in Abu Dhabi/Dubai, UAE, is seeking a Team Assistant to support management and project teams with administrative and organizational tasks. You will coordinate travel, onboarding, correspondence, and provide dashboards and reports using Microsoft 365 tools while collaborating with multiple support functions.

Qualifications

• Bachelor degree or diploma in Business Administration, Office Management, Commerce, Management, or related discipline.
• 0-2 years of professional work experience.
• UAE National with a valid UAE Family Book.
• Proficient in Arabic and English, written and spoken.
• Strong knowledge of Microsoft 365 tools (Outlook, Teams, Word, Excel, PowerPoint, SharePoint).
• Excellent organizational, time-management and communication skills.
• Ability to prioritise multiple tasks and meet deadlines.
• Professional and service-oriented in a multicultural environment.

About the Role

As a Team Assistant, you will provide reliable administrative and organizational support to the management and project teams within Siemens Smart Infrastructure - Grid Software. You will help ensure smooth day-to-day operations, effective coordination, accurate documentation, and professional communication with internal and external stakeholders. The role contributes to an efficient, compliant, collaborative, and digitally enabled working environment.

Key Responsibilities

• Provide day-to-day administrative and organizational support to the management, project managers, and wider team.
• Manage calendars, coordinate appointments, organize meetings, and support the preparation of agendas, presentations, meeting minutes, and follow-up actions.
• Coordinate business travel, accommodation, visitor arrangements, and related documentation in accordance with Siemens processes.
• Support internal and external correspondence, customer visits, workshops, training sessions, team events, and management meetings.
• Maintain accurate electronic records, team folders, distribution lists, contact lists, trackers, and departmental documentation.
• Assist with onboarding and offboarding coordination for employees, interns, and external resources, including access and workplace requirements.
• Support purchase requisitions, purchase orders, invoice follow-up, expense documentation, and coordination with suppliers and internal functions, as applicable.
• Prepare and consolidate routine reports, presentations, dashboards, and status updates using Microsoft 365 applications and Siemens systems.
• Coordinate with People & Organization, Finance, Procurement, IT, EHS, Quality, and other support functions to facilitate timely completion of administrative activities.
• Handle sensitive and confidential information with professionalism, discretion, and integrity.
• Support continuous improvement and digitalization of administrative processes and team workflows.
• Ensure compliance with Siemens policies, Business Conduct Guidelines, information security, Quality, EHS, and applicable UAE requirements.

Qualifications & Experience

• Bachelor degree or diploma in Business Administration, Office Management, Commerce, Management, or a related discipline.
• 0-2 years of professional work experience
• UAE National with a valid UAE Family Book.
• Good command of Arabic and English, both written and spoken.
• Good working knowledge of Microsoft Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
• Strong organizational, time-management, communication, and follow-up skills.
• Ability to prioritize multiple activities, meet deadlines, and work accurately with attention to detail.
• Professional, service-oriented, collaborative, and comfortable working in a multicultural environment.
• Willingness to learn Siemens processes, digital tools, and project-related administrative workflows.
