Job description

Role Purpose

We are looking for a hands‑on and highly organised Supply Chain, Logistics & Warehouse Coordinator who can take ownership of the movement of stock from planning and procurement through to warehousing, distribution and final delivery to customers or project sites.

This is not purely a warehouse administration role. The successful candidate will need to understand the full supply chain, identify potential issues before they become problems, coordinate multiple parties and ensure that stock, transport, documentation and deliveries are aligned with customer requirements.

The role will suit someone who enjoys working in a fast‑paced environment, is comfortable dealing with suppliers, transporters, warehouses, customers and internal departments, and is able to move between planning, analysis and hands‑on operational execution.

Key Responsibilities
1. Supply Chain & Demand Planning
  • Monitor stock levels, stock cover, demand and upcoming requirements to ensure appropriate availability of materials.
  • Assist with demand planning and replenishment based on historical usage, confirmed orders, forecasts and project requirements.
  • Identify potential stock shortages, excess stock and slow‑moving inventory and upscale these proactively.
  • Assist with determining appropriate order quantities, replenishment requirements and timing.
  • Monitor lead times and ensure purchasing and logistics activities are aligned with required delivery dates.
  • Track open purchase orders and ensure outstanding requirements are actively expedited.
  • Coordinate between Procurement, Sales, Finance, Warehousing and Logistics to ensure supply requirements are understood and actioned.
  • Use SAP and Excel data to monitor inventory, orders, deliveries, outstanding requirements and supply‑chain performance.
  • Maintain accurate planning and reporting information and highlight discrepancies or risks.
2. Procurement & Supplier Coordination
  • Coordinate with suppliers regarding orders, production progress, availability, documentation and delivery schedules.
  • Follow up on outstanding purchase orders and supplier commitments.
  • Monitor supplier lead times and identify delays that could affect customer or project requirements.
  • Ensure supplier documentation is accurate and received timeously.
  • Assist with resolving shortages, incorrect quantities, damaged goods, late deliveries and other supply issues.
  • Maintain strong working relationships with local and international suppliers.
  • Ensure changes to orders or requirements are communicated to all relevant parties.
3. Logistics & Import Coordination
  • Coordinate international and local shipments from supplier dispatch through to final delivery.
  • Monitor vessel, shipment and transport status and provide accurate ETA updates.
  • Coordinate with freight forwarders, clearing agents, transporters, suppliers and internal teams.
  • Ensure shipping and delivery documentation is complete and available when required.
  • Follow up proactively on delayed shipments, customs issues, documentation discrepancies and transport delays.
  • Coordinate collections and deliveries and ensure the correct stock is allocated to the correct customer/project.
  • Assist with freight planning and cost comparisons where required.
  • Maintain visibility of stock in transit and ensure expected arrivals are communicated to the relevant teams.
4. Warehouse Management & Coordination
  • Coordinate day‑to‑day warehouse activities and ensure effective stock movement and control.
  • Monitor receiving, put‑away, picking, packing, dispatching and stock transfers.
  • Ensure stock is correctly identified, counted, stored and allocated.
  • Maintain accurate inventory records and investigate discrepancies.
  • Coordinate regular stock counts and assist with stock reconciliations.
  • Monitor warehouse capacity and identify potential space constraints before they become operational issues.
  • Ensure stock is handled, stored and dispatched in a manner that minimises damage and unnecessary handling.
  • Coordinate stock transfers between locations where required.
  • Ensure warehouse documentation and system transactions are completed accurately and timeously.
  • Work with warehouse teams to improve stock accuracy, organisation and operational efficiency.
5. Customer & Project Site Deliveries
A key component of this role will be hands‑on coordination of customer and project deliveries.
The successful candidate will be expected to:
  • Coordinate deliveries directly with customers, contractors, project managers and site representatives.
  • Attend customer/project sites when required to facilitate deliveries and collections.
  • Confirm site readiness, access requirements, delivery times and unloading arrangements before dispatch.
  • Coordinate vehicles, drivers, loading teams, forklifts, or other required handling equipment where applicable.
  • Be present on larger or more complex deliveries to ensure the correct material is delivered to the correct location.
  • Verify quantities and material against delivery documentation.
  • Assist with resolving delivery issues on site.
  • Confirm collections and ensure returned or collected stock is properly documented and accounted for.
  • Take ownership of delivery problems rather than simply passing them on to another department.
6. Construction & Project Logistics
Experience in large‑scale construction, building materials, manufacturing or project environments would be highly advantageous.
The candidate should understand that project deliveries can involve:
  • Strict site delivery windows.
  • Restricted site access.
  • Large vehicles and specialised unloading requirements.
  • Forklift requirements.
  • Material sequencing and project schedules.
  • Multiple contractors and subcontractors.
  • Delivery documentation and sign‑offs.
  • Urgent or last‑minute requirements.
  • Material arriving in phases according to project progress.

7. Systems, Reporting & Analysis
  • Strong working knowledge of ERP systems SAP.
  • Maintain accurate system transactions relating to purchasing, inventory, transfers, receipts and dispatches.
  • Use Excel to analyse stock, demand, orders, deliveries, lead times and logistics information.
  • Produce and maintain supply‑chain and inventory reports.
  • Use data to identify trends, risks and opportunities for improvement.
8. Problem Solving & Continuous Improvement
The successful candidate should:
  • Identify bottlenecks and recurring supply‑chain problems.
  • Investigate the root cause of stock, delivery and warehouse discrepancies.
  • Recommend practical improvements to processes.
  • Look for opportunities to reduce unnecessary handling, transport costs, delays and excess stock.
  • Improve communication and visibility between departments.
  • Assist in developing and implementing SOPs and operational controls.
  • Be comfortable challenging processes where they are creating unnecessary risk or inefficiency.
Key Skills & Competencies
