Job description

The Opportunity : The Academic Program Coordinator supports the Campus Dean, Program Deans, and Registrar with all aspects of the program to ensure a meaningful and impactful experience and academic journey for Hult graduate students. In this full-time, on-site role, you will drive program excellence, enhance student satisfaction, shape student success, and support faculty to deliver a seamless program experience.

Role Description : As a vital member of the campus postgraduate academic team, the Program Coordinator supports the student and faculty journey across specific program(s). Working closely with the Academic team, the coordinator ensures the delivery of a high-quality academic experience, supports faculty with administrative and logistical tasks, organizes academic events, updates students on key milestones, and monitors student progress. The role also involves supporting quality assurance processes on campus under the supervision of the Dean and in partnership with the Director of Accreditation and Regulation.

Key Responsibilities :

  1. Support the day-to-day operations of the assigned academic program(s) and assist with course coordination activities.
  2. Assist faculty with administrative support, including preparing syllabi, building course pages, and conducting quality checks.
  3. Maintain accurate faculty data and ensure course pages are current and compliant with standards.
  4. Help organize faculty and program meetings.
  5. Address faculty questions, escalating to the Program Dean when necessary.
  6. Coordinate academic-related student events and extracurricular projects.
  7. Support academic initiatives, workshops, guest speakers, and industry events.
  8. Track guest speakers and report alumni and industry engagement activities.
  9. Coordinate with teams for Business Challenge sessions and client interactions.
  10. Assist with recruitment and scheduling of Course Assistants and facilitators.
  11. Support orientation, graduation, student training, and campus events.
  12. Monitor student progress and attendance in collaboration with Registry and Deans.
  13. Manage communication with students via email, newsletters, and media.
  14. Advise students on academic matters and support transitions such as leaves of absence.
  15. Develop presentation materials for prospective and current students.

Accreditation Support :

  1. Serve as the point of contact with KHDA for program registration, approvals, and licenses.
  2. Assist with data collection and project management for accreditation processes.

Additional Responsibilities :

  • Perform other duties as assigned.
  • Occasional weekend and evening hours may be required.
  • This position requires on-campus presence at least 4 days a week, with flexibility during peak periods.

Qualifications and Competencies :

  • Bachelor’s degree (Master’s preferred).
  • Experience in academic coordination preferred.
  • 2-3 years of relevant organizational or logistical experience.
  • Proficiency in Word, Excel, PowerPoint, and student management databases.
  • Familiarity with Salesforce and Canvas.
  • Excellent communication skills in English.
  • High attention to detail and strong project management skills.
  • Problem-solving skills and proactive attitude.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Experience in administration within an academic environment is a plus.
  • Must have the right to work in the campus location.
