Responsibilities

• Participate in implementing department work plans and projects according to their phases in coordination with units.
• Apply institutional and individual excellence models (EFQM, Dubai Government Excellence Model) and review best practices.
• Activate and manage suggestion/complaint system and analyze data from reports.
• Coordinate and develop ISO-related documents and operating models.
• Monitor non-compliance with quality management systems and propose corrective actions.
• Follow up on closure of non-compliance based on audits.
• Provide technical support for awards participation and file preparation to increase winning chances.
• Conduct surveys to measure happiness of employees and clients.
• Organize workshops and training for excellence and leadership.
• Monitor team performance and prepare reports on compliance with procedures.
• Participate in benchmarking with local/global institutions.
• Review follow-up results and implement improvement plans.
• Coordinate internal award phases to enhance job excellence.
• Update and document the database of distinguished practices.
• Coordinate workshops and lectures on excellence and preserve institutional memory.
• Represent the department in working groups and committees.
• Stay updated on new developments in institutional excellence and propose improvements.
• Perform any other duties as assigned.

Job description

General Objective:

The active contribution to enabling the department to implement all requirements related to the Government Excellence System standards and the excellence standards adopted by the department at the institutional and individual levels, and supporting the organizational units in the department to achieve the highest levels of compliance with local and international standards and specifications, and organizing workshops and targeted meetings to promote and enhance a culture of excellence and continuous improvement within the department, in line with the strategic objectives approved at the level of the department and the Government of Dubai.

Main Tasks and Responsibilities:

• Active participation in implementing work plans and projects/initiatives of the department according to their implementation phases in coordination with the relevant organizational units as per the directives issued by the direct supervisor.
• Implementing the requirements for applying institutional and individual excellence models in all its axes and standards such as EFQM, Dubai Government Excellence Model, and reviewing best practices related to the application process in this regard.
• Implementing the requirements related to activating the suggestion and complaint management system and the observations received from the department's employees and clients, and collecting and analyzing data from the reports issued by the system.
• Coordinating and following up on the application of administrative systems and quality specifications (ISO) in specialized work fields, and coordinating and developing the documents and operational models related to it.
• Monitoring cases of non-compliance resulting from the application of quality management systems, and proposing appropriate corrective actions to achieve compliance and continuous improvement.
• Following up and implementing the closure of cases of non-compliance based on internal and external audit reports within the scope of job specialization and according to the approved directives in this regard.
• Providing specialized technical support to the organizational units to advance participation in local, regional, and global awards, and coordinating and following up on the preparation of distinguished files for nomination and increasing the chances of winning these awards.
• Implementing exploratory studies and periodic surveys to measure the happiness of employees and clients in coordination with the relevant organizational units.
• Coordinating and following up on the implementation of workshops, training programs, and specialized meetings for the department's employees in institutional excellence and leadership.
• Monitoring the performance of work teams and committees, and preparing periodic reports on their compliance with institutional procedures and achieving their objectives efficiently and effectively.
• Coordinating and participating in implementing benchmarking operations with local and global institutions, and enabling the department to continuously review best practices.
• Participating in reviewing and analyzing the results of the follow-up reports from excellence programs, and from opinion surveys and participating in implementing improvement plans resulting from them.
• Coordinating and participating in implementing the phases related to the internal award to enhance job excellence in line with the Dubai Awards for Excellence categories.
• Updating and developing the database related to distinguished practices within the department continuously and documenting it, according to the approved directions.
• Coordinating workshops and specialized lectures in various fields of excellence and what contributes to preserving institutional memory in specialized work fields.
• Representing the administration/department in various working groups and committees related to the scope of the job according to the assignment issued by the direct supervisor.
• Continuous monitoring and reviewing what is new in the specialized work field related to institutional excellence, and providing suggestions to develop work procedures according to best practices.
• Performing any other tasks or duties related to the nature of the work as assigned.
