Role Summary
The Senior Associate – Project Delivery provides high‑level administrative, coordination, and operational support across multiple CAPEX projects. The role supports the Project Delivery Lead and project management team in ensuring effective coordination, governance, reporting, documentation, and stakeholder communication across the project portfolio. This role is critical in maintaining project organization, tracking deliverables, managing administrative processes, and supporting smooth day‑to‑day project execution.
Responsibilities
- Coordinate administrative activities across multiple capital projects simultaneously.
- Support Project Managers and the Project Delivery Lead with day‑to‑day project coordination.
- Maintain project trackers, action logs, risk registers, and status updates to keep information accurate and current.
- Coordinate meetings, workshops, and project reviews, including agenda preparation and minute‑taking.
- Track project deliverables, deadlines, approvals, and follow‑up actions with stakeholders.
- Support purchase order creation, tracking, and management in partnership with Procurement and Finance.
- Monitor invoice submissions, payment follow‑ups, and budget tracking activities.
- Ensure all project‑related documentation and approvals are properly maintained and filed.
- Assist with vendor coordination and documentation requirements.
- Coordinate communication between internal departments, consultants, contractors, and external stakeholders.
- Manage diary scheduling and calendar coordination for the Project Delivery Lead and key project meetings.
- Support onboarding coordination for project consultants, contractors, or temporary team members.
- Ensure timely circulation of project updates, reports, and meeting materials.
- Prepare project reports, dashboards, presentations, and status summaries for leadership meetings.
- Ensure project documentation aligns with governance, compliance, and audit requirements.
- Maintain centralized project filing systems and document control processes.
- Support continuous improvement of administrative and project coordination processes.
Qualifications
- Bachelor’s degree in Business Administration, Project Management, Engineering Administration, or related field preferred.
- 4–7 years of experience in project coordination, project administration, executive support, or PMO support roles.
- Experience supporting CAPEX, construction, engineering, or project delivery teams is preferred.
- Familiarity with procurement and PO processes is advantageous.
