Job summary

United Arab Emirates University, Department of Family Medicine seeks a Senior Administrator to support the Dean’s Office. The role includes overseeing daily operations, scheduling, correspondence, and coordinating internal/external meetings, visits, and reports.

The ideal candidate will have at least 5 years of administrative experience, a bachelor’s degree in business or related field, and fluency in Arabic and English.

Qualifications

  • Experience in a supervisory or senior administrative role is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Knowledge of office management systems and procedures.
  • Excellent written and verbal communication skills.

Responsibilities

  • Full supervision of the Dean's office daily operations.
  • Organizing workflow within the Dean's office to ensure efficient completion of tasks.
  • Managing incoming and outgoing correspondence.
  • Maintaining and organizing the Dean's schedule.
  • Coordinating internal and external meetings.
  • Arranging official visits.
  • Monitoring the implementation of the Dean's decisions.
  • Preparing a follow‑up log for all assigned tasks.
  • Communicating with departments and administrations to ensure task completion.
  • Submitting periodic reports to the Dean on the percentage of completion.
  • Coordinating with University administration and college committees.
  • Monitoring deadlines for reports, approvals, and events.
  • Preparing meeting schedules and organizing files.
  • Follow up on the implementation of meeting recommendations.
  • Reviewing correspondence before presenting it to the Dean.
  • Ensuring all required documents are complete.
  • Following up on the signing and sending of letters to the relevant parties.
  • Receiving the Dean's guests and visitors.
  • Responding to inquiries received by the Dean's office.
  • Directing requests to the relevant departments.
  • Performing any other duties related to the nature of the work as assigned.
  • Minimum 5 years of administrative experience.
