Office Manager
The Office Manager supports the day-to-day operations of the Executive Office at Sharjah Education Academy, ensuring effective coordination of schedules, communications, and administrative processes. The role acts as a link between leadership, academic and administrative departments, and external stakeholders. It helps maintain organized workflows, timely follow-up on tasks, and smooth information flow. The position requires professionalism, discretion, and strong organizational skills in a fast‑paced higher‑education environment.
Key Responsibilities
- Executive Office Management
- Ensure leadership time is aligned with institutional priorities and strategic initiatives.
- Coordinate logistics for executive meetings, official visits, and institutional events.
- Prepare briefing materials, background notes, and executive summaries.
- Strategic Administrative Support
- Draft, review, and format official correspondence, reports, presentations, and briefing papers.
- Attend executive and strategic meetings to document minutes, track decisions, and monitor follow‑up actions.
- Support special projects assigned by senior leadership, including research, benchmarking, and analysis.
- Maintain highly organized electronic and physical document management systems.
- Communication & Liaison
- Serve as a key liaison between senior leadership and academic departments, shared services, and external partners/consultants.
- Manage incoming and outgoing communications, ensuring accuracy, discretion, and professionalism.
- Office Operations & Governance
- Oversee the day‑to‑day functioning of the Executive Office to ensure efficiency and professionalism.
- Ensure adherence to SEA policies, governance frameworks, and relevant regulations.
- Support policy documentation, process improvement, and administrative standardization.
- Event & Stakeholder Coordination
- Plan and coordinate high‑profile institutional meetings, forums, and leadership events.
- Manage hospitality, protocols, and visitor coordination for official guests.
- Support inter‑departmental coordination for executive engagements.
- Manage complex calendars, appointments, travel, and high‑level meeting schedules for senior leadership.
- Continuous Improvement
- Evaluate office systems, workflows, and administrative practices.
- Recommend and implement improvements to enhance service quality and efficiency.
- Financial Coordination
- Support monitoring of Executive Office budget and expenditures.
- Assist with procurement requests and documentation.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum 10 to 12 years of relevant experience in executive office or senior administrative roles.
- Experience within higher education, government, or large institutions is strongly preferred.
