Role Context

The Reservations Agent plays an important commercial role by converting guest enquiries into confirmed room bookings while supporting the hotel 's broader revenue strategy. The position requires a clear understanding of market segments, rate plans, restrictions, availability and guest preferences so that the right accommodation product is offered at the right time. Working closely with the Reservations Manager, Revenue Management and Sales teams, the agent helps protect data accuracy, improve conversion levels and maximize room revenue. Strong reservation administration also ensures that guest information, corporate account relationships and market segmentation remain accurate within the property management system.

Key Responsibilities
  • Apply Accor pricing principles across retail, corporate, leisure, group and other market segments.
  • Understand room rate restrictions, hurdles, availability controls and revenue management requirements.
  • Convert telephone enquiries into confirmed reservations through effective sales techniques.
  • Use appropriate upselling methods to increase room revenue while matching offers to guest needs.
  • Process reservations in line with revenue strategies established by the hotel 's Revenue Management team.
  • Maintain complete knowledge of hotel guestrooms, services, facilities and available packages.
  • Respond promptly and professionally to email enquiries relating to room reservations.
  • Understand the rate plans and market segments used across direct and third-party distribution channels.
  • Offer suitable products according to customer profile, booking conditions and available inventory.
  • Handle reservation-related guest questions accurately and efficiently.
  • Resolve booking concerns where possible and escalate more complex complaints appropriately.
  • Identify sales opportunities involving individual guests, corporate accounts, wholesalers and travel management companies.
  • Apply Accor Core Reservation Standards consistently across all bookings.
  • Work toward targeted performance levels during LQA Hotel Mystery Shopping calls.
  • Maintain accurate and well-organized guest and account data within the PMS.
  • Verify that market segmentation is correctly assigned to each reservation.
  • Establish appropriate links and relationships between corporate accounts within the system.
  • Review reservation details for accuracy before confirmation.
  • Ensure guest requests and booking preferences are recorded correctly to support satisfaction upon arrival.
  • Use Opera PMS effectively for reservation creation, modification, account handling and guest data management.
  • Support implementation and effective use of current and new revenue management tools.
  • Participate in property management system conversions or related system projects when required.
  • Use the hotel 's telephone system efficiently when handling incoming and outgoing reservation calls.
  • Maintain organized reservation correspondence and related documentation.
  • Support the Reservations Manager and Revenue Management leader with special projects.
  • Work collaboratively with the Sales Team during selected client dinners, special events or entertainment activities.
  • Maintain confidentiality regarding guest, account and commercial information.
  • Follow hotel policies, pricing controls and established reservation procedures at all times.
Ideal Profile

The role requires a degree or diploma in Hotel Management, Training and Development or a related hospitality discipline. Candidates should have practical familiarity with hotel reservations, room inventory management and guest booking procedures. Experience within an international hotel or luxury hospitality environment would be particularly valuable. Working knowledge of Opera PMS is essential because the role relies heavily on accurate booking entry, market segmentation, guest profiles and corporate account information. The successful candidate should also be comfortable using Microsoft Office and handling a combination of telephone, email and system-based reservation activity throughout the working day. Commercial awareness is important, particularly the ability to recognize upselling opportunities, understand pricing differences and support revenue objectives without compromising guest service. Strong communication skills, attention to detail and confidence handling guest concerns will help ensure both booking accuracy and a professional reservation experience.
