QUALIFICATIONS
  • Bachelor’s Degree or equivalent with 1–2 years of experience in Property Management or any related industry, with a basic accounting background.
  • Excellent communication (English and Arabic), negotiation, presentation, and interpersonal skills.
  • Expert with all MS Office suite applications.
  • Capable of managing multiple tasks.
  • Strong attention to detail and good presentation skills.
  • Creative and analytical while possessing personal drive and initiative.

RESPONSIBILITIES

The Property & Legal Administrator liaises with internal and external departments while being responsible for both property management and legal administrative duties. Accuracy, record keeping, document filing, due diligence, and compliance are the key parameters for this role. Reporting to the Portfolio Manager, this position will play a critical role in helping the department achieve its objectives.

  • Manage contracts and documentation signing, system updates, reporting, and registration of tenancy contracts, ensuring compliance with company and landlord policies.
  • Keep up to date with relevant rental laws, property regulations, and guidelines issued by the land department, municipality, and other government authorities.
  • Ensure timely and efficient updates of all records on property management software.
  • Publish, add, and update units including uploading landlord documents and tenant contracts.
  • Follow departmental procedures for tenancy contracts and renewals, including application screening, verification, landlord approvals, and contract registrations on government websites.
  • Prepare reports and forward to accounts for reconciliation purposes.
  • Monitor renewal notifications sent by property supervisors, send reminders where necessary, and follow up on contracts/documents for signature until finalized.
  • Handle routine correspondence via email, phone, and coordinate with office messengers for timely delivery of documents.
  • Generate timely reports and conduct corresponding analysis.
  • Assist in the preparation, review, and formatting of legal documents, agreements, notices, and authorizations to ensure accuracy and compliance.
  • Maintain and update legal databases, case files, and contract records with proper filing and document control.
  • Liaise with external legal counsel, notary offices, and government authorities for document attestations, legalizations, and registrations.
  • Monitor deadlines for contract renewals, court submissions, and statutory requirements to ensure timely compliance.
  • Conduct basic legal research to support property management and compliance needs.
  • Provide administrative support for legal audits, dispute cases, and regulatory inspections.
  • Ensure confidentiality and secure handling of sensitive company and legal documents.
  • Perform other company-related duties as may be assigned by management.
