Job Summary:

The IT Asset Officer is responsible for managing the organization’s IT hardware and software assets throughout their lifecycle, ensuring accurate tracking, maintenance, and compliance. This role involves overseeing stock levels, inventory audits, procurement support, and asset disposal while optimizing costs and minimizing risks.

Key Responsibilities:

1. Inventory & Stock Management:

• Maintain accurate records of IT assets (hardware, software, licenses) using inventory management tools (e.g., SCCM, ServiceNow, or custom databases).
• Conduct regular physical audits to verify stock levels and reconcile discrepancies.
• Monitor stock levels of IT equipment (laptops, desktops, peripherals, etc.) and initiate replenishment orders.
• Organize and manage IT storage areas, ensuring proper labeling and secure storage.

2. Asset Lifecycle Management:

• Track IT assets from procurement to disposal, including deployment, transfers, and decommissioning.
• Update asset registers with details (serial numbers, warranties, user assignments).
• Coordinate with procurement and vendors for timely delivery of IT equipment.

3. Compliance & Reporting:

• Ensure compliance with software agreements and license terms to avoid penalties.
• Generate reports on asset utilization, depreciation, and end-of-life schedules.
• Assist in audits (internal/external) by providing accurate asset documentation.

4. Procurement & Cost Control:

• Validate purchase requests against inventory needs to prevent overstocking/understocking.
• Identify cost-saving opportunities (e.g., bulk purchases, refurbished equipment).
• Follow secure data-wiping and disposal procedures for retired assets.
• Collaborate with e-waste vendors for environmentally compliant disposal/recycling.

Qualifications & Skills:

• Education: Any graduation
• Experience: 2+ years in IT asset/inventory management or a similar role.
• Technical Skills:
• IT inventory management tools (e.g., ServiceNow, Managed Engine)
• Proficiency in Excel Sheets (pivot tables, VLOOKUP)
• Basic understanding of IT hardware/software licensing.
• Soft Skills:
• Strong attention to detail and organizational skills.
• Analytical mindset for data reconciliation.
• Effective communication with teams/vendors.
• On-site with regular lifting/Shifting of IT equipment
• Collaboration with IT, Finance, and Procurement teams
