Job summary

Caliberly in Dubai is seeking a proactive Events Management Specialist to plan and execute live, hybrid, and virtual events. You will collaborate with marketing, brand and client teams, vendors, and internal stakeholders to deliver high-impact experiences that meet brand objectives and ROI.

The role requires strong project management, vendor negotiation, and on-site execution with attention to detail, budgets, and schedules. Fluency in English is essential, with Arabic a plus.

Qualifications

• Bachelor's degree in Event Management, Marketing, Hospitality, Business Administration, or related field.
• 3–5 years of experience in event planning and execution, UAE/GCC experience preferred.
• Proven track record managing end-to-end events with strong attention to detail, logistics, and delivery under pressure.
• Excellent project-management skills: handle multiple events in parallel, meet deadlines, manage budgets.
• Strong vendor-management and negotiation skills.
• Excellent communication (verbal and written) and stakeholder-management skills.
• Proficiency in MS Office and familiarity with event-management tools.

Responsibilities

• Develop detailed event briefs and project plans: define objectives, target audiences, timelines, budgets, staffing, and vendor requirements.
• Source and secure venues, negotiate with vendors and suppliers, and manage contracts and service agreements.
• Coordinate end-to-end event logistics: registration, invitations, guest lists, AV equipment set-up/tear-down, on-site staffing and vendor supervision.
• Collaborate with cross-functional teams to align event messaging, branding, and promotion.
• Manage event budgets: track expenditure, process invoices, reconcile costs, monitor spend vs plan, report variances.
• Execute on-site event day operations: oversee set-up, vendor delivery, staffing, troubleshoot issues, ensure guest experience.
• Maintain an event calendar and manage multiple events concurrently to meet deadlines.
• Capture and analyse event performance: attendance, engagement, ROI, lessons learned; prepare post-event reports.
• Stay current with event industry trends and propose innovative formats to enhance impact.
• Build and maintain relationships with venues, suppliers, contractors, and partners; monitor vendor performance.
• Ensure compliance with local regulations, health & safety protocols, and internal policies.
