Job summary

ADIB Group is seeking a Facilities Management & Administration Specialist for its Al Ain Center of Excellence. The role oversees facilities operations, general services, and workplace experience to ensure a safe, compliant, and customer-focused environment. The position requires a university degree in a related field and 1–3 years of FM/Administration experience.

Qualifications

• Bachelor's Degree in Facilities Management, Engineering, Business Administration, Operations Management, or related discipline.

Responsibilities

• Manage all day-to-day Facilities Management operations within the ADIB Center of Excellence.
• Coordinate preventive, corrective and reactive maintenance activities for building systems and infrastructure.
• Monitor the performance of FM service providers and contractors to ensure service levels.
• Ensure timely resolution of facility-related requests, complaints, defects and service tickets.
• Conduct regular facility inspections and maintain workplace standards across all occupied areas.
• Coordinate office moves, workplace setups, furniture arrangements and space utilization.
• Support business continuity, workplace readiness and operational resilience.
• Manage day-to-day general services operations ensuring seamless workplace experience for employees and visitors.
• Coordinate housekeeping, pantry services, stationery supplies, courier services and admin support.
• Oversee hospitality services for meetings, trainings, workshops, management visits and events.
• Manage meeting room operations including booking, readiness and audiovisual setup.
• Coordinate visitor management, reception support and parking arrangements.
• Coordinate logistics including furniture movements, asset relocations and deliveries.
• Support onboarding by coordinating workspace preparation and access requirements.
• Ensure availability of workplace resources and supplies.
• Act as the FM&A focal point within the Center of Excellence.
• Promote a customer-centric service culture across FM&A and General Services.
• Engage with stakeholders to understand workplace requirements and service expectations.
• Drive initiatives to improve employee experience and service quality.
• Support FM&A digitalization initiatives and process improvements.
• Recommend improvements to enhance efficiency and workplace functionality.
• Support sustainability and workplace improvements aligned with ADIB objectives.
