Job Summary
We are looking for an experienced Facilities Manager to oversee integrated facilities management operations across assigned properties. The role will be responsible for ensuring high-quality service delivery across technical and soft services, managing service providers and contractors, maintaining customer satisfaction, controlling operational costs, and driving continuous improvement and sustainability initiatives.The successful candidate will have strong experience in Integrated Facilities Management (IFM), building maintenance, vendor management, budgeting, SLA/KPI management, and team leadership.
Key Responsibilities
- Facilities & Operations
- Manage end-to-end facilities management services, including MEP, building maintenance, soft services, housekeeping, security, concierge, and administration.
- Oversee maintenance and repair activities carried out by internal teams, service providers, vendors, and contractors.
- Conduct regular property inspections to ensure service quality, cleanliness, safety, and overall occupant comfort.
- Manage move-in/move-out processes and general maintenance activities.
- Ensure timely and effective resolution of tenant and internal customer requirements.
- Drive continuous improvement in service quality, cost efficiency, and operational timelines.
- Vendor & Contract Management
- Manage technical and non-technical outsourced service contracts and appointed service providers.
- Monitor vendor performance against agreed SLAs, KPIs, and contractual requirements.
- Conduct regular vendor performance reviews and maintain strong professional relationships with service providers.
- Review service agreements and develop appropriate SOPs and operational procedures.
- Obtain and evaluate proposals from multiple vendors to ensure cost-effective solutions.
- Support contract renewals, scope development, procurement activities, and cost-reduction initiatives.
- Budget & Cost Management
- Manage annual OPEX and CAPEX budgets for assigned properties.
- Monitor operational expenditure and utility consumption.
- Maintain utility trackers and identify opportunities for energy and operational cost savings.
- Manage inventory of critical spare parts and consumables in coordination with IFM service providers.
- Review work completion reports and ensure timely processing of invoices and GRNs.
- Health, Safety & Compliance
- Conduct regular risk assessments and implement appropriate corrective and preventive measures.
- Ensure compliance with UAE laws, company policies, health and safety requirements, and facilities management standards.
- Coordinate closely with Health & Safety and Security teams.
- Ensure appropriate documentation, including Risk Assessments, Method Statements, and Safety Data Sheets.
- Escalate critical operational, safety, and compliance issues to senior management.
- Team Management & Development
- Set objectives for direct reports and conduct regular performance reviews.
- Manage, train, and develop facilities management teams to ensure operational effectiveness and career progression.
- Identify skills gaps and coordinate relevant training programs.
- Conduct regular one-to-one sessions and support succession planning and business continuity.
- Provide leadership and direction to internal teams, contractors, and service providers.
- Energy & Sustainability
- Identify and oversee energy conservation, sustainability, and operational efficiency initiatives across assigned properties.
- Develop innovative solutions to improve customer satisfaction, service quality, and operational efficiency.
Candidate Requirements
- Bachelor's degree in Engineering (Electrical, Mechanical, Civil) or an equivalent qualification is preferred.
- Candidates with substantial relevant facilities management experience may also be considered.
- 10–15 years of experience in Integrated Facilities Management, Facilities Management, or Building Maintenance.
- Previous experience in a Facilities Manager / managerial-level FM role.
- Strong experience managing multidisciplinary facilities operations and outsourced service providers.
- Hands‑on experience with Computerized Maintenance Management Systems (CMMS) and work‑order management systems.
- Experience managing SLAs, KPIs, service contracts, vendors, OPEX and CAPEX budgets.
- Knowledge of SFG20, ASHRAE, P‑180, BICSc/BICS and SIRA standards/regulations.
- Ability to read and work with architectural, structural, and MEP drawings, leases, contracts, and related technical documents.
