Job description

Executive Assistant to the Chief Growth Officer

Experience: 3-4 years

About the Company

We are a diversified group operating across retail, wholesale trading, and a licensed luxury brand. Our business brings together distinct commercial models, stakeholder expectations, and operating cultures under a shared growth agenda. The organization works with internal division leaders, external brand principals, suppliers, distributors, board members, investors, and potential M&A or partnership counterparts. Our growth and strategy function connects these stakeholders, protects commercially sensitive information, and enables disciplined execution across the group. We operate in a fast-growth environment where priorities evolve quickly and decisions require sound judgment, discretion, and ownership. The organization values polished communication, high standards, accurate documentation, and reliable follow-through. This role supports a senior growth leader whose work spans operating reviews, licensing relationships, wholesale contracts, strategic initiatives, and group-wide coordination. The successful candidate will join a professional, confidentiality-sensitive environment where administrative excellence directly improves executive focus, stakeholder confidence, governance, and the pace of strategic execution.

About the Role

The Executive Assistant will own the operating rhythm of the Chief Growth Officer’s office across three business divisions. Through rigorous calendar management, stakeholder coordination, travel orchestration, documentation, and action tracking, the role will protect executive capacity and improve cross-division execution. The EA will act as a trusted connective layer between division heads, C-suite offices, external brand principals, board members, investors, suppliers, distributors, and M&A or partnership counterparts. Success requires exceptional judgment, discretion, written communication, and the ability to resolve conflicts based on commercial priority rather than request order. The role will also maintain audit-ready records, support growth reviews and board materials, coordinate premium vendors, and ensure commitments are followed through to closure. Its business impact is a responsive, well-governed CGO office that enables faster decisions while safeguarding confidential information.

Key Responsibilities

  • Own the CGO’s complex, multi-division calendar by balancing retail reviews, wholesale meetings, luxury-brand engagements, and strategic priorities, improving executive time allocation and decision velocity.

  • Coordinate board meetings, leadership offsites, investor reviews, partner engagements, and townhalls end-to-end, aligning C-suite offices and stakeholders around clear logistics and business outcomes.

  • Serve as the CGO office’s first contact for division heads and external stakeholders, drafting and proofreading sensitive correspondence that protects relationships and maintains a polished professional standard.

  • Safeguard strategic, financial, M&A, licensing, partnership, contract, and board information through disciplined file access, confidentiality protocols, and early escalation of exposure risks.

  • Plan domestic and international travel across time zones and geographies, including licensor, brand-partner, supplier, and distributor visits, ensuring reliable execution and appropriate executive readiness.

  • Prepare and format board decks, growth reviews, and cross-division MIS packs with Strategy and Finance, improving reporting quality and enabling informed leadership decisions.

  • Track CGO-led actions across all divisions and maintain audit-ready records of contracts, approvals, and correspondence, driving accountability and timely closure with stakeholders.

  • Process expenses, invoices, and budget tracking while coordinating premium travel, events, hospitality, and other vendors against the standards expected of a luxury-oriented group.

  • Advanced proficiency in Microsoft Outlook, Excel, and PowerPoint, with the ability to produce accurate calendars, executive materials, trackers, and management information packs.

  • Strong executive communication, proofreading, stakeholder management, and travel-coordination capability across senior leaders, external partners, vendors, and geographically distributed teams.

  • Demonstrated discretion and judgment when handling confidential M&A, licensing, partnership, financial, contractual, and board-level information in a fast-changing environment.

  • Ability to prioritize competing demands by business criticality, operate independently through ambiguity, and coordinate effectively across multi‑entity or multi‑brand structures.

  • Comfortable using virtual meeting platforms, travel‑management tools, document repositories, and structured follow‑through systems to improve visibility and execution.

Additional Plus

  • Experience supporting C-suite leadership or working in a Chief of Staff‑adjacent capacity within retail, luxury, FMCG, wholesale trading, or a diversified group.

  • Exposure to confidential M&A, licensing, partnership, wholesale contract, or brand‑principal documentation would strengthen the candidate’s ability to anticipate risk and support sensitive growth work.

  • Additional certification in business administration or executive support is valued, particularly where it has strengthened executive operations, governance, or stakeholder coordination.

What You'll Bring

  • A bachelor’s degree or equivalent, with additional certification in business administration or executive support preferred.

  • Three to four years of experience as an Executive Assistant or in a Chief of Staff‑adjacent role supporting C‑suite leadership, ideally within retail, luxury, FMCG, wholesale trading, or a diversified group.

  • Impeccable discretion and judgment, with the maturity to protect unannounced growth strategy, M&A discussions, licensing relationships, contract terms, and board deliberations without exception.

  • Advanced capability in Outlook, Excel, PowerPoint, virtual meeting platforms, travel‑management tools, document control, and executive reporting support.

  • A polished communication style and confidence engaging division leaders, other executive assistants, board‑level stakeholders, external brand principals, investors, suppliers, distributors, and partnership counterparts.

  • High ownership, strong organization, and calm prioritiation when schedules change, information is sensitive, and multiple business cultures require simultaneous support.

  • A service mindset balanced with commercial judgment: you will not simply process requests, but determine what matters most and create the conditions for the CGO to lead effectively.

Why Join Us

  • Support a senior growth leader whose remit spans retail, wholesale trading, and licensed luxury, giving you broad exposure to group strategy and high‑impact commercial priorities.

  • Work at the intersection of executive operations, partnerships, licensing, governance, and growth, where excellent coordination directly improves decision quality and execution speed.

  • Build trusted relationships with senior internal leaders and sophisticated external stakeholders while operating in a polished, confidentiality‑sensitive professional environment.

  • Take meaningful ownership of the CGO office’s rhythm, standards, and follow‑through rather than functioning as a purely transactional administrative support role.

What We Offer

  • A full‑time, permanent opportunity supporting the Office of the Chief Growth Officer from the group head office in Dubai.

  • Broad, group‑wide exposure across retail, wholesale trading, and licensed luxury operations, with meaningful involvement in strategic coordination and executive governance.

  • A high‑trust role where discretion, ownership, judgment, and operational excellence are recognized as direct contributors to business performance.

  • The opportunity to work with senior leaders, external partners, premium vendors, and cross‑functional teams in a fast‑growth environment.
