Position description:The Warehouse Executive is responsible for managing and coordinating all warehouse-related activities in a 3PL-managed environment for FMCG distribution across Dubai, Sharjah, and Northern Emirates. This includes overseeing inbound and outbound operations, van stock management, presales and van sales reconciliation, and ensuring accurate inventory control. The role acts as a key liaison between the principal supplier, 3PL partner, and internal teams (Demand Planning, Sales, and Distribution) to ensure timely, accurate, and efficient flow of goods and data.
Primary Responsibilities:
- Coordinate with the principal supplier and 3PL for timely inbound deliveries.
- Ensure accurate receiving, GRN posting, and system updates in both 3PL WMS and internal ERP.
- Resolve discrepancies and ensure inbound documentation is complete and compliant.
Outbound & Delivery Coordination
- Liaise with Sales and Distribution teams to plan and execute outbound deliveries.
- Release orders in batches by creating GRNs and allocate orders based on confirmed quantities.
- Monitor delivery performance and ensure OTIF (On-Time In-Full) execution.
- Track and process customer returns at the time of delivery in coordination with Sales and 3PL.
Compliance & Reporting
- Ensure adherence to company SOPs, HSE standards, and regulatory requirements.
- Generate daily/weekly reports on inbound/outbound volumes, van stock accuracy, returns, and delivery performance.
- Support internal and external audits with required documentation and data.
Returns & Rejections Handling
- Process approved returns from customers promptly and accurately.
- Create GRVs (Goods Return Vouchers) for canceled and partial delivery orders for both Presales and Van Sales.
- Monitor stock rejections and allocate available stock to fulfill pending orders.
- Conduct daily system reconciliation between 3PL WMS and internal ERP to ensure no discrepancies or stock loss.
- Perform daily random cycle counts and investigate variances.
- Ensure proper stock rotation (FIFO/FEFO) and storage practices.
System & Documentation
- Ensure all warehouse and van-related transactions are recorded in real-time.
- Maintain accurate documentation for audits and internal reviews.
- Support master data integrity (SKU codes, pack sizes, expiry dates).
Compliance & Reporting
- Ensure adherence to company SOPs, HSE standards, and regulatory requirements.

- Bachelor's degree in Supply Chain, Logistics, Business Administration, or related field.
- 3–5 years of experience in warehouse operations, preferably in FMCG and 3PL environments.
- Hands-on experience with van sales operations and presales reconciliation.
- Proficiency in WMS and ERP systems (SAP, Oracle, or similar).
- Strong coordination and communication skills.
- Advanced Excel and reporting capabilities.
- Problem-solving and attention to detail.
- Knowledge of FIFO/FEFO, stock reconciliation, and returns handling.
