We are seeking an experienced and highly organized Site Administration Officer to support our EPC Oil & Gas projects across the UAE. The successful candidate will play a critical role in managing site administration activities, ensuring compliance with regulatory requirements, maintaining administrative controls, coordinating assets and facilities, and supporting overall project operations.
This role requires a proactive professional with strong administration, facilities management, compliance, and stakeholder management experience within the construction, EPC, or oil & gas sectors.

YOUR ROLE
As Site Administration Officer, you will
EPC Project Administration & Coordination
- Oversee and manage all administrative workflows supporting EPC project execution.
- Support Project Directors, Project Managers, Engineering Teams, and Site Management with documentation, scheduling, coordination, and administrative requirements.
- Maintain and control project records, progress reports, correspondence, transmittals, and official project documentation.
- Coordinate with internal departments, subcontractors, suppliers, consultants, and clients to ensure the timely flow of information and documentation.
- Handle project logistics, including travel arrangements, accommodation, transportation, site access permits, mobilization schedules, and vendor coordination.
- Supervise project administrative staff and ensure compliance with company policies, project procedures, and client requirements.
- Prepare management dashboards, presentations, KPI reports, and consolidated project status reports.
- Support onboarding activities for project personnel and maintain accurate manpower and mobilization registers.
- Ensure HSE, quality, technical, and compliance-related documents are properly maintained, controlled, and readily accessible.
Office Space Management & Optimization
- Monitor, allocate, and optimize corporate and project office space utilization based on operational requirements and workforce growth.
- Maintain updated office layouts, workstation assignments, and departmental allocation plans.
- Coordinate office relocations and infrastructure adjustments to support organizational changes.
Theft & Incident Reporting Management
- Act as the focal point for internal theft and employee death reporting within corporate offices and project sites.
- Coordinate investigations with HR, Project Management, Security Teams, Internal Audit, and relevant government authorities.
- Maintain detailed theft incident registers and ensure complete, confidential documentation.
- Conduct trend analyses and recommend corrective and preventive measures.
- Escalate serious incidents to management and support audit requirements.
MOHRE Compliance Register Management
- Maintain and update a comprehensive register of MOHRE laws, regulations, circulars, and decrees.
- Monitor regulatory updates and assess their impact on company policies and procedures.
- Identify compliance gaps and prepare variance reports for management review.
- Support policy alignment with UAE labor and employment regulations.
- Manage lease agreements, renewals, terminations, and negotiations for corporate offices and staff accommodations.
- Track lease milestones, rental escalations, renewal dates, and contractual obligations.
- Coordinate with landlords, property management companies, legal departments, and finance teams.
Asset Management
- Maintain an accurate asset register for office furniture, IT hardware, equipment, and infrastructure assets.
- Coordinate asset tagging, inspections, audits, transfers, repairs, and disposals.
- Ensure compliance with company asset management policies and procedures.
Company Registration, Licensing & Legal Compliance
- Maintain trackers for company licenses, registrations, permits, and statutory requirements.
- Monitor expiry dates and coordinate timely renewals with Legal, Finance, and PRO teams.
- Maintain organized records of licenses and regulatory certificates for audit and inspection readiness.
CCTV & Security System Governance
- Oversee the operation and maintenance of CCTV systems across offices, project sites, warehouses, and accommodations.
- Coordinate with Security, IT, and external vendors regarding maintenance, upgrades, and troubleshooting.
- Maintain footage records, access logs, uptime reports, and security documentation.
- Support investigations through timely retrieval and management of security footage.
Documentation, Reporting & Administrative Support
- Maintain organized filing systems for contracts, reports, compliance records, trackers, and administrative documents.
- Prepare monthly reports and dashboards for HR & Administration leadership and project management teams.
- Support internal and external audits by providing accurate records and documented evidence.
- Ensure proper document control and record retention in accordance with company procedures.
General Responsibilities
- Undertake any additional duties as assigned by the Line Manager, Administration Manager, Department Head, or Project Management Team.
- Support continuous improvement initiatives and contribute to administrative excellence across projects and corporate operations.
WHAT WE’RE LOOKING FOR
Experience
- Minimum 6-8 years of experience in Administration, Facilities Management, Corporate Services, or Project Administration.
- Minimum 3 years in a similar role within the UAE, preferably in EPC, Oil & Gas, Energy, Industrial Construction, or Infrastructure projects.
- Proven experience in vendor negotiations, procurement, fleet management, tenancy administration, and project support functions.
Education and Certifications
- Bachelor's Degree in Business Administration, Management, Public Administration, or a related field.
SKILLS AND COMPETENCIES
