Administrative AssistantPosition Overview
We are looking for a highly organized, proactive, and reliable Administrative Assistant to provide day-to-day support to the Manager and assist with the smooth coordination of administrative and operational activities.
The role will work closely with the Manager and act as a key support person, helping manage tasks, follow-ups, documents, schedules, communications, and coordination across different departments and external parties.
Key Responsibilities
- Provide direct day-to-day administrative support to the Manager.
- Assist the Manager with organizing, coordinating, and following up on ongoing tasks and projects.
- Manage schedules, meetings, appointments, and reminders as required.
- Prepare, organize, and maintain documents, quotations, reports, presentations, and other business correspondence.
- Follow up with clients, suppliers, venues, partners, and internal teams on pending requirements and deliverables.
- Maintain proper filing and organization of company documents and records.
- Track pending tasks, deadlines, approvals, payments, and other follow-ups to ensure timely completion.
- Coordinate with different departments and provide updates to the Manager when required.
- Assist with meeting preparation, including agendas, documents, presentations, and follow-up actions.
- Support the Manager with research, information gathering, and preparing summaries when required.
- Assist with day-to-day office and administrative requirements.
- Take initiative in identifying tasks that require attention and support the Manager in keeping daily operations organized.
- Perform other administrative and coordination duties as assigned by the Manager.
Requirements
- Previous experience in an administrative, executive assistant, office coordinator, or similar support role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Good knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.
- Ability to manage multiple tasks and priorities simultaneously.
- Strong attention to detail and follow-up skills.
- Proactive, responsible, and able to work independently.
- Professional attitude with good interpersonal and communication skills.
- Ability to handle confidential information appropriately.
- Flexible and willing to assist with different tasks based on business requirements.
