Job description

The incumbent will be responsible for managing daily administrative functions and assisting the Warehouse Logistics Manager with the operations across warehouses and production facilities. This role involves overseeing the warehouses administration, implementing efficient processes for stock management, order processing, managing costs, health and safety compliance, and record keeping. Additionally, the incumbent will ensure adherence to our policies and procedures

KEY RESPONSIBILITIES:
  • Manage the warehouses administration.
  • Ensure timely processing and accuracy of credits.
  • Oversee transporter claims management.
  • Handle subcontract closing and WIP postings on a weekly basis.
  • Monitor and follow up on in progress subcontracting orders.
  • Assist with the OHASA file, appointments, and monthly inspection submissions.
  • Escalate and resolve logged system issues.
  • Conduct weekly circle counts, ensuring counts are loaded and validated in SAGE.
  • Manage SMETA, ASIB, and labour audits, addressing all identified issues.
  • Analyze daily transaction reports and stock summaries.
  • Oversee BOND and REBATE store transfers and audits.
  • Update the online rebate book and manage transfers.
  • Conduct weekly and daily floor walks with the Warehouse Manager in the warehouse and canteen areas.
  • Manage GITs between branches and external warehouses.
  • Ensure all company vehicles are licensed and properly maintained.
  • Verify that all company vehicles have operational Netstar and e-tags.
  • Oversee company vehicles and fuel cards, investigating any fuel overuse.
  • Manage SAGE entries and run checking reports to ensure timely and accurate data capture.
  • Oversee BOM (Bill of Material) management.
  • Co-ordinate with the Warehouse Manager on all non-stock orders and invoices approvals.
  • Manage daily and weekly PODs according to SOP.
  • Ensure all administration compliance and legislation if followed for the warehouses.
EDUCATION/EXPERIENCE REQUIRED:
  • Maric
  • Warehouse administration experience minimal 3 years
  • Sage knowledge
  • Solid understanding of the legislation and requirements of the Rebated /Bonded stores a must.
  • Solid analytical Skills (Team approach).
  • Extremely well organised, self-disciplined and deadline driven.
  • Self-motivated, lead by example.
  • Ability to effectively communicate to all levels of the organization.
  • Ensure accurate and timely completion of tasks.
  • Proficient user of Microsoft Office Tools: Excel (Advanced), PowerPoint, and Word
