Job summary

Volvo Group Southern Africa (Pty) Ltd is seeking a Service Contracts Administrator to actively manage contract administration, invoicing, and data integrity. You will support AR processes, handle activations and adjustments, and ensure timely invoicing for all contract types in a dynamic commercial vehicle environment.

The role reports to the Senior Manager Uptime Service and requires experience in finance/administration within the transport sector.

Qualifications

  • Grade 12 or equivalent.
  • Financial and administrational experience.
  • 3-5 years in the commercial vehicle industry.
  • SAP knowledge advantageous.

Responsibilities

  • Attend to customer queries of all aspects within the service contracts portfolio.
  • Actively manage accounts receivables on the active portfolio as a support function to the AR controllers.
  • Managing and creating debit orders for existing and new customers.
  • Actively working with the Portfolio Support team on activations and adjustments when required on newly entered contracts, as well as existing contracts.
  • Monthly invoicing of all contract types and actively maintaining correct invoicing at all times.

The Main Purpose of the Job is to actively work with and manage all service contract administration on a day-to-day basis.

Reporting: This role will report to the Senior Manager Uptime Service.

Job Objectives:
  • To attend to Customer queries of all aspects within the service contracts portfolio.
  • To actively manage accounts receivables on the active portfolio as a support function to the AR controllers.
  • Managing and creating debit orders for existing and new customers.
  • Actively working with the Portfolio Support team on activations and adjustments whenrequired on newly entered contracts, as well as existing contracts.
  • Actvations of contracts against set monthly targets.
  • Support sales executives to produce, distribute, activate, and manage service agreement within required time frame.
  • Actively working with Purchase Plus to create orders for management approvaltimeously with high quality.
  • Ensure compliance for auditing purposes on the administration of Service Contracts.
  • Ensuring all data is available and up to date for monthly invoicing.
  • Monthly invoicing of all contract types and actively maintaining correct invoicing at all times.
  • Ensure the data integrity is inline with the standard approved for the Service ContractsPortfolio.
  • To excel in the Uptime Services Service Contracts Department for VGSA, focusing on, but not limited to, Service Contracts and administration functions.
  • Completion and maintaining of the monthly service contract action list (mileage revisions, contract closures, indexation etc).
  • Support on Volvo connect as and when required.
  • Support the Uptime Service short and long term objectives.

Qualification & Experience:
  • Grade 12.
  • Financial and administrational experience.
  • 3-5 years' experience in the commercial vehicle industry.
  • Financial Experience (SAP knowledge advantageous).
  • Computer literate (Microsoft Office) (Intermediate or Advanced will be advantageous).
  • MS Excel Advanced.
  • Transport Industry Knowledge.
  • Interpersonal skills.
  • Communication Skills (Verbal and Written).
  • Ability to Change/Adapt.
  • Effective Time Management.
  • Problem solving.
