Job summary

Pacific International Lines (PIL) South Africa is seeking an Administrative Executive to provide coordinated administrative, procurement, travel, facilities and event support. Based in Durban, the role supports day-to-day workplace operations across PIL offices in South Africa, with a hands-on, multi-priority focus.

You will collaborate with the HR Manager, management and external stakeholders to manage suppliers, travel, events and governance records while representing PIL with professionalism,

Qualifications

  • Minimum 5 years' experience in administration, procurement, office management, travel coordination or executive support.
  • Strong supplier coordination and stakeholder management.
  • Good Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
  • Experience arranging corporate travel, events and office services.
  • Experience in a multinational, shipping, logistics or service-driven environment is an advantage.

PIL South Africa is looking for an Administrative Executive to provide coordinated administrative, procurement, travel, facilities and event support. The role is based in Durban, South Africa and will support day-to-day workplace operations across PIL offices in South Africa. This is a hands-on role for someone who enjoys variety, takes ownership, and can manage multiple priorities while representing PIL with professionalism, warmth and attention to detail.

Key Responsibilities:

As Administrative Executive, you will play a key role in supporting the day-to-day effectiveness of PIL South Africa. You will help ensure that our offices are well-run, our workplace services are responsive, our suppliers are managed effectively, and employees and visitors experience a professional and welcoming PIL environment. You will work closely with the HR Manager, management team, employees, service providers and external stakeholders to support procurement activities, office administration, travel arrangements, event coordination, facilities readiness, governance records and executive support when required. In this role you will:

  • Identify, Manage office administration, supplies, records, contracts and day-to-day workplace support across PIL South Africa
  • Coordinate procurement activities, including supplier sourcing, RFQs, pricing comparisons, vendor follow-ups and service delivery monitoring.
  • Arrange business travel, accommodation, transport, visa support, travel advances and related claims for employees and visitors.
  • Support meetings, staff events, workshops, customer engagements and site visits, ensuring professional coordination and alignment with PIL brand standards.
  • Oversee reception, telephone enquiries, visitor management, courier services, meeting room bookings and front-office hospitality.
  • Coordinate facilities support, office maintenance, asset records, refurbishments, workplace changes and WSH-related administrative activities.
  • Support ESG, finance and governance reporting by maintaining accurate administrative, expenditure, sustainability and reconciliation records.
  • Provide executive and management support as required, including scheduling, documentation, meeting packs, correspondence and follow-up actions.
MUST HAVE:
  • Minimum 5 years' experience in administration, procurement, office management, travel coordination or executive support.
  • Strong supplier coordination, stakeholder management and communication skills.
  • Good working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook.
  • Experience arranging corporate travel, events and office services.
  • Experience in a multinational, shipping, logistics or service-driven environment will be an advantage.
  • Strong attention to detail, with the ability to maintain accurate records and follow company procedures.
  • Ability to manage multiple priorities, follow through on tasks and work independently with minimal supervision.
  • Professional written and verbal communication skills in English
