Job summary

Hire Far Out seeks an Accounting Practice Operations Specialist to fully own internal operations and the software stack for a US financial advisory practice. Qualifications

• 3+ years' experience in operations, practice administration, or executive support owning multi-system workflows end-to-end.
• Demonstrated systems aptitude with proven capability to learn software quickly and troubleshoot independently.
• Advanced spreadsheet skills in MS Excel or Google Sheets with experience maintaining and enhancing semi-automated workbooks.
• Experience with accounting practice management platforms (GreatSoft, Xero Practice Manager, Accfin Sky, SmartPractice, or Caseware) is advantageous.
• Fluency in written and spoken English with professional, client-ready communication skills.
• Ability to work shifted South African business hours to guarantee a daily overlap with US Pacific Time.
• Experience within an accounting, legal, or professional services practice serving US clients is advantageous.

Responsibilities

• Manage monthly billing cycle and work-in-progress in practice management systems; run automated spreadsheet tools and issue invoices.
• Maintain organised client records across cloud accounting platforms, email software, and return-tracking systems.
• Execute tax filing submissions to authorities and track returns through to acceptance with deadline escalation.
• Produce recurring KPI reports from dashboards and manage administrative records (time logs, leave requests, documentation).
• Oversee compliance calendars for staff education credits, renewals, and software subscriptions.
• Administer phone system flows, manage credential vaults, and build integrations to reduce duplicate data entry.
• Utilise AI tools daily for communication drafting, data cleanup, process documentation, and workflow automations.
