Job Spec — Property Manager (Cape Town)
The Role
Flyp Homes is a fast-growing short-let property management company with a London portfolio and a Cape Town operations hub. We're looking for a sharp, proactive Property Manager to join our Cape Town team — someone who takes real ownership of their portfolio, stays ahead of problems, and holds the line on standards.
This role sits at the heart of our operations. You'll be managing a portfolio of London-based short-let properties remotely, handling both reactive and proactive maintenance, keeping margins tight, and making sure every property is compliant, well-maintained, and performing.
Location: Cape Town — Hybrid (2 fixed office days per week)
Working Hours: 09:00–18:00 UK time, Monday to Friday
Because our properties are in London, your working day aligns with UK business hours.
Weekend Rota: This role includes weekend cover on a rotating basis — currently one weekend per month. Days worked on the weekend are taken off in lieu during the week.
What You'll Be Doing
Maintenance Management
- Triage incoming maintenance issues and assign them to the right contractors promptly, within SLA
- Monitor open tickets from creation to resolution — no ticket gets forgotten or sits unactioned
- Drive proactive maintenance: identify and address issues before they escalate into complaints or costly repairs
- Coordinate with contractors to ensure work is scheduled, attended, and signed off within agreed timeframes
- Escalate when necessary and own the outcome, not just the handover
KPI Ownership
- Hit and maintain your portfolio KPIs: ticket closure rates, SLA adherence, guest satisfaction scores, repeat issue rates
- Track your numbers weekly and flag risks before they become missesContribute to reporting cycles and ops reviews with clean, accurate data
Cost Control and Margin Management
- Approve maintenance spend within your authorisation limit and challenge anything that looks off
- Ensure contractor quotes are appropriate, competitive, and properly authorised before work begins
- Identify recurring cost patterns and flag opportunities to reduce waste or renegotiate
- Keep margins in line with Flyp's targets for property care spend
Billing and Compliance
- Ensure all maintenance work is correctly billed — to the right owner, at the right rate, with proper documentation
- Uphold Flyp's compliance standards across your portfolio: gas safety, electrical certificates, and any other statutory requirements
- Maintain accurate records in our property management systems at all times
- Support the team in making sure owners are informed and invoiced correctly and on time
What We're Looking For
Experience
- 3+ years in property management, facilities coordination, or a similar operations role
- Experience managing maintenance workflows, contractor relationships, or service delivery in a fast-paced environment
- Comfortable working with a remote or international portfolio — you've coordinated across time zones or geographies before
- Familiarity with property management software (Gsuite, Breezeway, or similar)
- Short-let or holiday rental experience is a plus, but not essential
- A degree in Logistics, Property Management, or a related field — or 3+ years of hands‑on experience that's taught you just as much. We care about what you can do, not just what's on paper
Skills
- Strong written and verbal communication in English — you're clear, professional, and know how to push without being pushy
- Organised to a fault: you manage multiple priorities without letting things slip through the cracks
- Comfortable with data: you can read a tracker, spot an anomaly, and ask the right question
- Confident handling contractor conversations, including negotiating costs and challenging poor work
- Able to work independently during UK hours with minimal supervision
