Job Title: Property Administrator

About the Role
This dual role encompasses both Leasing and Property Administration. You will support property management functions, including administering Agreements of Lease and managing related contracts. Your responsibilities include maintaining data integrity for buildings and tenants, and fostering strong relationships with tenants and property managers.
Qualifications and Skills
- Minimum Grade 12 with Accountancy as a subject
- At least 2 years of experience in a similar role within commercial property management
- Proficient typing skills for document handling
- Advanced skills in MS Office and property contract systems such as SAP or MDA
- Effective communication skills, both verbal and written
- Strong organizational and administrative skills
- Knowledge of legal and regulatory requirements including FICA and POPIA
- Understanding of financial principles related to commissions, reports, and invoices
- Experience in preparing lease agreements, cession documents, and reports
Key Responsibilities
- Credit Balances: Investigate and resolve credit balances, ensuring corrections or refunds are processed monthly in collaboration with the Debtors Administrator.
- Lease Administration: Oversee contract creation, coordinate with brokers and FIC Department, prepare commission calculations, manage lease packs, and handle cession and cancellation agreements.
- Renewals: Manage lease renewal processes, liaise with tenants, conduct credit vetting, prepare KYC risk ratings, and handle deposits and FICA documents.
- Tenant Administration: Update tenant data, manage tenant files, track turnover figures, handle queries, and prepare lease documents and reports.
- Data Integrity: Ensure accuracy of lease documentation, maintain document tracking, and manage tenant vacating procedures.
- Tenant and Public Liaison: Coordinate meter readings, address account queries, validate broker invoices, and respond to audit queries.
- Internal Liaison: Communicate with staff regarding tenant issues, facilitate key handovers, and assist with space and municipal bill management.
