Project Coordinator – Global Operations | Protective Services

Arcfyre delivers protective service operations in environments where planning, judgement, and execution must align without error. We are seeking Project Coordinators who are organised, composed under pressure, and comfortable taking responsibility for keeping complex operations moving. Arcfyre operates in 60+ countries across five continents, delivering protective services and journey management for organisations and individuals who require reliability, discretion, and professional execution.

This role sits at the centre of our operations, coordinating projects from planning through to completion while ensuring communication between clients, operational teams, and leadership remains clear and effective. For the right individual, it is a demanding and engaging role with genuine responsibility.

The Reality of This Role

This position sits close to live operations. Timelines can shift quickly, clients expect clarity and responsiveness, and there are occasions where coordination is required outside standard office hours. For the right person, this is part of what makes the role engaging. You will be trusted with responsibility, exposed to complex projects, and relied upon by experienced professionals.

The Environment

This is not a routine administrative position. Our operations move quickly, client needs evolve, and decisions made in coordination roles can have real operational consequences. You may find yourself managing several projects simultaneously while ensuring that communication, documentation, operational requirements, and financial controls remain aligned. Because Arcfyre operates globally, there will occasionally be evening or weekend coordination requirements.

Working Structure

This role operates on a hybrid basis. However, during the probation period, regular presence in the office is essential. This allows you to integrate fully with the operational team, understand how decisions move through the organisation, and build the relationships required to perform effectively. After this period, hybrid flexibility becomes available in line with operational needs.

The Role

The Project Coordinator is responsible for end-to-end coordination of protective service operations.

You will act as the central connection between:

  • Clients
  • Operational teams on the ground
  • Leadership
  • The Global Security Operations Centre

Your role ensures that planning translates into successful execution and that each project concludes accurately and professionally.

Key Responsibilities
  • Coordinate protective service projects from initial planning through execution and completion
  • Liaise directly with clients, operational teams, and vendor partners
  • Prepare quotes, costings, and operational scopes aligned with client needs and risk profiles
  • Maintain clear communication between:
  • Operational teams
  • The Global Security Operations Centre
  • Clients and internal stakeholders
  • Monitor project progress and resolve issues when circumstances change
  • Compile documentation, reports, and compliance records
  • Manage financial close-out files to ensure accurate and timely invoicing
  • Maintain trusted client relationships while protecting operational integrity
