Job summary

Botshilu Private Hospital is seeking a Payroll Administrator to manage end-to-end payroll processing using Sage 300 People, in an office-based role that requires a high degree of accuracy, confidentiality and strict adherence to deadlines.

The successful candidate will work closely with Human Resources and Finance teams to ensure timely, accurate remuneration, benefits, leave management and payroll-related queries, while maintaining compliance with statutory requirements.

Qualifications

  • Grade 12 with Mathematics and/or Accounting.
  • Post-matric qualification in Payroll Administration or related field preferred.
  • SAGE 300 People certification required.
  • Strong knowledge of payroll legislation and tax regulations.
  • Advanced Excel and reporting skills required.
  • Payroll reconciliation and auditing skills essential.
  • Understanding of employee benefits administration and leave management.

Responsibilities

  • Process full monthly payroll for all employees using Sage 300 People.
  • Calculate salaries, overtime, allowances, deductions and benefits.
  • Verify input data for accuracy before payroll processing.
  • Verify overtime, shift allowances, standby claims and other inputs.
  • Ensure timesheets/attendance are reflected in payroll.
  • Process and reconcile statutory deductions (PAYE, UIF, SDL).
  • Ensure compliance with SARS, UIF and labour legislation.
  • Process medical aid deductions and retirement fund contributions.
  • Reconcile payroll accounts to the General Ledger and generate reports.
  • Maintain payroll audit trails and related documentation.

Job description

The Payroll Administrator is responsible for the end-to-end administration and processing of the Hospital's payroll and employee benefits using the Sage 300 People system.

The role is primarily office-based and requires a high degree of accuracy, confidentiality, and adherence to strict deadlines.

The incumbent works closely with the Human Resources, Finance, and departmental management teams to ensure the timely and accurate processing of employee remuneration and benefits, leave management and other related payroll queries.

REQUIREMENTS
  • Grade 12 / National Senior Certificate (NQF Level 4) with Mathematics and/or Accounting.
  • Post-matric qualification in Payroll Administration, Finance, Accounting, Human Resources, or a related field (NQF Level 5-6) preferred.
  • SAGE 300 People certification.
  • Sound knowledge of payroll legislation, tax regulations, BCEA, UIF, PAYE, SDL, and other statutory requirements.
  • Advanced MS Excel and reporting skills.
  • Payroll reconciliation and auditing skills.
  • Understanding of employee benefits administration and leave management.
KEY OUTPUTS
  • Process the full monthly payroll cycle for all permanent, fixed-term, and temporary employees using Sage 300 People.
  • Calculate and process salaries, wages, overtime, allowances, deductions, and employee benefits.
  • Verify payroll input data to ensure accuracy and completeness before payroll processing.
  • Verify overtime, shift allowances, standby claims, and other variable payroll inputs
  • Ensure approved timesheets and attendance records are accurately reflected in payroll
  • Process and reconcile statutory deductions, including PAYE; UIF; SDL and other legislated deductions.
  • Ensure compliance with SARS, UIF, Labour legislation, and relevant payroll regulations.
  • Process medical aid deductions and reconciliations.
  • Administer retirement fund contributions and related deductions.
  • Reconcile payroll-related accounts to the General Ledger.
  • Generate management reports as required.
  • Maintain payroll audit trails and supporting documentation.
  • Ensure accurate and timely administration of employee benefit schemes, including medical aid, retirement funds, group life assurance, disability cover, and other employee benefits, while maintaining compliance with company policies and legislative requirements.
