The Operations Centre Manager is responsible for theeffective day-to-day management, operation and presentation of the Shopping Centre,ensuring that the centre is safe, well maintained, commercially successful andprovides a high-quality experience for tenants and customers.
The position combines shopping centre management withfacilities and operational management, requiring a hands-on individual whocan manage the physical property and service providers while also buildingstrong tenant relationships, managing centre performance and supporting theoverall commercial objectives of the property.
The successful candidate will act as the key operationalpoint of contact at the centre and will work closely with property/portfoliomanagement, tenants, contractors, service providers and other stakeholders.
- Takeresponsibility for the day-to-day management and smooth operation of theshopping centre.
- Buildand maintain strong professional relationships with tenants, storemanagers and key stakeholders.
- Actas the primary point of contact for tenant operational queries, complaintsand centre-related matters.
- Conductregular tenant visits and proactively identify and resolve operationalconcerns.
- Ensuretenants comply with centre rules, operating procedures, tradingrequirements and lease-related operational obligations.
- Coordinatetenant meetings and communicate relevant centre information, plannedworks, operational changes and upcoming activities.
- Assistwith tenant installations, store openings, refurbishments and exits inconjunction with the relevant property and leasing teams.
- Monitortenant trading and operational issues and escalate material concerns whereappropriate.
- Assistwith the management and resolution of tenant complaints and disputes.
- Supportinitiatives aimed at improving tenant satisfaction, customer experienceand the overall performance of the centre.
Facilities & Property Operations
- Managethe day-to-day facilities and operational requirements of the centre.
- Conductregular inspections of the property, common areas, parking areas, serviceareas and building infrastructure.
- Ensurethe centre is maintained to a high standard of cleanliness, presentationand functionality.
- Manageplanned preventative maintenance and reactive maintenance programmes.
- Identifymaintenance requirements and ensure repairs are completed timeously and tothe required standard.
- Overseebuilding systems and infrastructure, including electrical systems,plumbing, HVAC, lighting, fire systems, lifts/escalators where applicable,generators and other mechanical systems.
- Monitorutilities and identify opportunities to reduce electricity, water andother operating costs.
- Managecontractors and service providers and ensure work is completed safely,professionally and within agreed service levels.
- Maintainaccurate maintenance records, inspection reports and contractordocumentation.
- Coordinateemergency repairs and operational incidents with minimal disruption totenants and customers.
Security, Safety & Risk Management
- Ensurethe centre provides a safe and secure environment for customers, tenants,employees and contractors.
- Overseesecurity operations and security service providers.
- Monitorincidents, crime trends and security risks and implement appropriatepreventative measures.
- Ensurecompliance with occupational health and safety requirements and relevantproperty regulations.
- Ensurefire equipment, emergency systems and evacuation procedures are maintainedand regularly tested.
- Coordinateemergency preparedness procedures and evacuation drills.
- Investigateand report incidents, accidents, damages and operational risks.
- Ensurecontractors comply with centre health and safety requirements beforecommencing work.
- Managecleaning, hygiene, pest control, waste management and landscaping serviceproviders.
- Conductregular inspections to ensure common areas, ablutions, parking areas andexternal areas are maintained to the required standard.
Financial & Budget Management
- Assistwith the preparation and management of the centre's annual operating andmaintenance budgets.
- Monitoroperational expenditure against approved budgets.
- Obtainquotations and manage procurement for maintenance and operationalrequirements in accordance with company procedures.
- Reviewand verify contractor and service-provider invoices.
- Identifyopportunities for operational efficiencies and cost savings withoutcompromising service levels.
- Assistwith CAPEX planning and motivate required capital expenditure projects.
- Monitorutility consumption and investigate abnormal usage or variances.
- Provideoperational input into monthly property and management reporting.
Contractor & Service Provider Management
- Managerelationships with security, cleaning, landscaping, maintenance and otheroperational service providers.
- Ensureservice providers comply with contractual obligations and agreedservice-level agreements.
- Conductregular performance reviews and site meetings with service providers.
- Verifystaffing levels, attendance and service delivery.
- Ensurecontractors maintain appropriate insurance, health and safetydocumentation and compliance certificates.
- Addresspoor performance promptly and implement corrective action where necessary.
Leasing & Tenant Installation Support
- Workclosely with leasing and property management teams regarding vacantpremises and prospective tenants.
- Assistwith site inspections and operational information required during theleasing process.
- Coordinatetenant installations and ensure contractors comply with centrerequirements.
- Monitorfit-outs, refurbishments and reinstatement works.
Requirements
- Relevantqualification in Property Management, Facilities Management, OperationsManagement, Building Management or a related field.
- Approximately 5+ years' experience in retail property, shopping centre, facilities orcommercial property management.
- Previousexperience within a shopping centre or retail property environment isstrongly preferred.
- Demonstratedexperience managing facilities, contractors and service providers.
- Experiencedealing directly with retail tenants and store management.
- Workingknowledge of building maintenance, health and safety, security andfacilities management.
- Experiencemanaging operational budgets and expenditure.
- Goodunderstanding of retail property operations and tenant requirements.
- Computerliteracy, including Microsoft Office and relevant property/facilitiesmanagement systems.
- Validdriver's licence and own reliable transport.
