The Role:
To provide clear accountability and strategic oversight for the delivery of consistent, efficient and employee-centric HR services across the organisation. The position will centralise leadership of HR administration, employee data, HR systems and operational processes, while establishing common service standards, governance controls and measurable service levels.
Key Performance Areas:
Effective Shared Service Delivery:
- Lead, manage, and coach the HR Shared Services team to ensure consistent, accurate, and timely delivery of HR services across the employee lifecycle.
- Oversee end-to-end HR administration and transactional services, ensuring quality, efficiency, and compliance.
- Set performance standards and monitor service delivery, including management of HR queries through case management/ticketing systems to ensure timely resolution.
- Drive standardised HR processes, documentation, and ways of working across the organisation.
- Act as the escalation point for complex, sensitive, or high-risk HR operational matters, providing guidance to the team.
- Partner closely with HR Business Partners and functional leaders to ensure seamless service handovers and a positive employee experience.
HR Systems and Data Management:
- Lead and manage the HR Shared Services team's use of HR systems to ensure accurate, reliable HR data and effective system utilisation.
- Maintain overall accountability for HRIS administration, data governance, and data integrity standards across the organisation.
- Collaborate with IT and external system vendors to plan, prioritise, and implement system enhancements, upgrades, and issue resolution.
- Oversee the accuracy of employee master data and ensure the team produces consistent, compliant HR data outputs.
- Ensure the timely delivery of accurate operational HR reports (e.g. headcount, turnover, leave, contracts) to support business decision-making.
- Oversee user enablement by ensuring appropriate training, guidance, and adoption of HR systems and employee/manager self-service tools.
Process Optimisation and Continous Improvement:
- Design and implement efficient, scalable, and standardised HR processes that enhance the employee experience.
- Proactively review and analyse HR data to identify key insights and emerging trends, and translate these into actionable recommendations that drive continuous improvement across HR.
- Review, map and standardise HR processes across the business.
- Identify and implement improvements to HR processes and systems to enhance efficiency and service quality.
- Ensure HR processes are efficient and aligned with business needs.
- Identify automation and efficiency opportunities. - Implement continuous improvement initiatives (Lean, process redesign).
- Document procedures and maintain HR knowledge bases.
- Benchmark service delivery against best practice.
Stakeholder andCustomer Relationship Management:
- Drives a positive service experience and strong working relationships with internal stakeholders.
- Act as primary HR operational interface with employees and line managers.
- Manage stakeholder expectations regarding service delivery and timelines.
- Communicateservice changes, improvements, and policies clearly.
- Resolve service issues and complaints professionally.
People Management and Capability Building:
- Lead a high‑performing, skilled, and engagedHR SharedServices team.
- Recruit, coach and develop the team.
- Set performance objectives, conduct regular performance reviews, and build succession pipelines.
- Ensure appropriate workload distributionand capacity planning.
- Buildservice-orientated culture within the team.
- Identify training and development needs.
- Support a diverse and inclusive team culture.
Budget Management:
- Determine and compile budget HR Shared Services forecast.
- Monitor and control budget, producing monthly budget review reports.
- Identify cost saving initiatives to measure the balancesheet.
- Manages personal budget expenses to complywith budget requirements continuously.
Your Profile:
Education and Qualifications:
- Grade 12 / Matric
- Bachelors degree in HR, business administration, industrial psychology or related discipline
- Post Graduate degree is advantageous
- A relevant payroll qualification or certification (eg. Payroll administration / tax / sage or similar) advantageous
Experience:
- 7 - 10 yearHRexperience, with atleast3 - 5yearsin a HR Shared Services or HROperations leadership role
