  • Solid knowledge of SA labour legislation BCEA, LRA, EEA, SDA.
  • Proficient in MS Office and payroll systems.

Responsibilities

  • Manage Time & Attendance (T&A) and payroll inputs using SmartTime, ERS Biometrics, and SAP HCM.
  • Coordinate high-volume recruitment, onboarding, and new starter processes including contracts and inductions.
  • Support employee relations with disciplinary and grievance administration in line with policy and law.
  • Maintain accurate, confidential employee files and generate HR metrics for management.

Job description

HR Administrator

Pepkor Lifestyle Logistics is seeking a highly organized and proactive HR Administrator to support our fast-paced distribution and supply chain operations. The successful candidate will serve as the first point of contact for HR-related queries at the Distribution Centre (DC) and will be responsible for providing comprehensive, high-volume administrative support across the employee lifecycle.

Operating in a dynamic, shift-based logistics environment, the HR Administrator will ensure accurate payroll inputs, maintain compliance with South African labor legislation, coordinate recruitment and onboarding, and support employee relations processes for both permanent and temporary workforces.

Key Responsibilities
1. Time & Attendance and Payroll Administration
  • Administer and monitor the daily Time & Attendance (T&A) system SmartTime and ERS Biometrics system for all permanent, temporary, and shift workers within the DC.

  • Resolve timesheet discrepancies, missing clock-ins, and shift-schedule errors in collaboration with Line Managers.

  • Accurately capture and process all leave applications (annual, sick, family responsibility, maternity) on the SAP HCM HR System.

  • Prepare and consolidate monthly/weekly payroll inputs (overtime, shift allowances, deductions, new engagements, and terminations) and submit to the central Payroll Department by strict deadlines.

2. Recruitment, Onboarding, and Terminations
  • Assist with high-volume recruitment for warehouse floor staff, operators, and administrative roles (advertising, screening CVs, and scheduling interviews).

  • Conduct pre-employment checks, including references, criminal checks (MIE), and qualification verifications.

  • Prepare employment contracts, offer letters, and new starter packs.

  • Coordinate and facilitate HR inductions for all new employees, ensuring they understand company policies, benefits, and code of conduct.

  • Process employee terminations, conduct exit interviews, and ensure the timely submission of exit documentation to payroll and provident fund administrators.

3. Employee Relations (ER) Support
  • Provide administrative support for disciplinary and grievance procedures in line with the LRA and company policies.

  • Draft notices to attend disciplinary enquiries, warnings, and outcome letters.

  • Act as the official scribe/minute-taker during internal disciplinary hearings and grievance meetings.

  • Maintain an accurate, confidential, and up-to-date tracker of all warnings and disciplinary actions.

4. General HR Administration & Reporting
  • Maintain accurate and strictly confidential employee personnel files (both physical and electronic) in strict compliance with the POPI Act.

  • Administer employee benefits, including provident fund, medical aid, and death/disability claims, liaising with external brokers as required.

  • Generate weekly and monthly HR metrics reports (absenteeism rates, staff turnover, headcount, and leave balances) for the HR Manager and DC Management.

  • Assist in tracking Employment Equity (EE) statistics and coordinating local EE committee meetings.

  • Support the Skills Development Facilitator by capturing training interventions, tracking mandatory compliance training and assisting with WSP/ATR data collection.

Qualifications and Experience
  • Education: Degree in Human Resources Management, Industrial Psychology, or a related field.

  • Experience: Minimum of 3 to 4 years of experience as an HR Administrator.

  • Industry Experience: Prior experience in a high-volume logistics, warehousing, manufacturing, or retail environment is highly advantageous due to the complexities of shift work and large wage-earning staff complements.

  • Knowledge: Solid understanding of South African labor legislation (BCEA, LRA, EEA, SDA)

Skills and Competencies
  • Technical Skills: Proficiency in Microsoft Office Suite (Advanced Excel is a strong advantage) and experience with HRIS and Payroll/T&A software.

  • Accuracy: Exceptional attention to detail, especially regarding payroll inputs and data capturing.

  • Communication: Excellent written and verbal communication skills. Ability to communicate effectively with staff at all levels, from warehouse floor workers to senior management.

  • Resilience & Time Management: Ability to thrive in a high-pressure, fast-paced logistics environment, managing multiple conflicting deadlines simultaneously.

  • Confidentiality: High level of integrity, ethical standards, and ability to handle sensitive information discretely.
