Key Responsibilities
Recruitment & Onboarding
- Coordinate vacancies and recruitment administration.
- Assist with advertising vacant positions.
- Screen and shortlist applications where required.
- Schedule interviews with candidates and hiring managers.
- Coordinate interview documentation.
- Conduct candidate administration and follow-ups.
- Assist with reference and background-check administration.
- Prepare recruitment documentation.
- Coordinate offers and employment documentation.
- Prepare new employee files.
- Coordinate employee onboarding and induction administration.
- Ensure all required new-starter documentation is completed and filed.
- Maintain recruitment trackers and vacancy reports.
HR Reporting
Provide accurate and timely HR reporting and administrative information to the Senior HR Manager and management team.
- Headcount reports.
- Recruitment reports.
- Employee movement reports.
- New appointments and terminations.
- Leave and absenteeism information.
- Staff turnover information.
- Training records.
- Performance appraisal trackers.
- Payroll-related HR reports.
- Employee data and HR statistics.
- Maintaining HR spreadsheets, trackers and dashboards.
Accuracy and attention to detail will be critical when working with employee and payroll information.
Payroll Administration & Support
Provide administrative support to the payroll process for a workforce of approximately 600 employees.
- Prepare and submit employee payroll information.
- Capture and maintain employee changes.
- Process new-starter information.
- Prepare termination information.
- Coordinate salary and employee changes.
- Maintain leave and attendance information.
- Assist with payroll queries.
- Check payroll documentation for completeness.
- Maintain payroll supporting documentation.
- Assist with monthly payroll administration.
- Ensure payroll information is submitted within required deadlines.
- Liaise with payroll and the Senior HR Manager regarding discrepancies.
Employee Files & HR Records
- Create and maintain employee files.
- Ensure employment contracts and supporting documents are correctly filed.
- Maintain electronic and physical HR records.
- File disciplinary and performance-related documentation.
- Maintain employee personal information.
- Update employee records when changes occur.
- Maintain leave and attendance documentation.
- Ensure employee documentation is complete and easily retrievable.
- Maintain confidentiality of sensitive employee information.
- Support HR audits and document requests.
General HR Administration
- Prepare HR letters and correspondence.
- Assist with employment contracts and amendments.
- Maintain HR templates and documentation.
- Track probation periods.
- Coordinate performance appraisal documentation.
- Assist with disciplinary and grievance administration.
- Schedule HR meetings and hearings.
- Take minutes where required.
- Assist with training administration.
- Maintain organisational charts and employee information.
- Update HR policies and documents as instructed.
- Maintain employee databases and HR systems.
- Follow up with managers and employees on outstanding HR documentation.
- Assist the Senior HR Manager with ad hoc HR projects and reporting.
Training & Compliance Administration
- Maintain employee training records.
- Coordinate training bookings and attendance.
- Liaise with training providers.
- Maintain supporting documentation for training interventions.
- Assist with WSP and ATR administration.
- Support SITA / SETA submissions and documentation where required.
- Assist with Employment Equity documentation.
- Maintain supporting information for B-BBEE and Skills Development requirements.
- Prepare documentation for audits and verification processes.
Support to the Senior HR Manager
A key part of this position will be acting as a reliable 2IC support resource within the HR department.
- Keeping HR administration and deadlines on track.
- Preparing reports and employee information.
- Following up on outstanding documentation.
- Coordinating recruitment and onboarding.
- Maintaining HR and payroll records.
- Assisting with employee-related administration.
- Preparing documentation for meetings and HR processes.
- Providing administrative support during busy HR cycles.
- Taking ownership of routine HR matters to allow the Senior HR Manager to focus on strategic and complex employee issues.
Minimum Requirements
Qualifications
- A Diploma or Degree in Human Resources Management, Industrial Psychology, Business Administration or a related field.
- Additional HR, payroll or Skills Development training will be advantageous.
Experience
- Previous experience as an HR Administrator, HR Coordinator, HR Officer, Human Resources Administrator or similar HR support role.
- Experience working within a large employee environment will be advantageous.
- Previous exposure to Residential Property, Property Management, Hospitality, Hotels, Serviced Apartments, Accommodation or another operational multi-site environment will be highly advantageous.
- Practical recruitment and onboarding experience.
- HR reporting experience.
- Payroll administration or payroll support experience.
- Strong employee filing and records-management experience.
- Experience maintaining HR databases, trackers and employee information.
- Exposure to training, Employment Equity, B-BBEE or Skills Development administration will be advantageous.
