About the Company

An established and reputable independent financial planning practice is seeking a Financial Planning Administrator to join its close-knit administration team. The practice services a substantial client base through a team of experienced financial advisers and administrators.

This is an excellent opportunity for a highly organised, proactive and client-focused individual who is looking to establish a long-term career within the financial planning and wealth management industry.

The successful candidate will provide comprehensive administrative support to one of the financial advisers while working collaboratively with the broader administration team.

Key Responsibilities
  • Manage the onboarding of new clients and prepare new business applications.
  • Provide administrative support across investment, retirement and risk products.
  • Process retirement applications and Section 14 transfers.
  • Manage policy servicing, amendments and instructions to product providers.
  • Prepare client review packs and ensure all required supporting documentation is obtained.
  • Assist with compliance, FICA and related administrative requirements.
  • Liaise with product providers and proactively follow up on outstanding requirements.
  • Handle client queries professionally via telephone and email.
  • Provide clients with statements, tax documentation and general administrative assistance.
  • Manage the financial adviser’s diary and coordinate client appointments and meetings.
  • Monitor outstanding tasks and proactively follow up with the adviser to ensure deadlines are met.
  • Maintain accurate and up-to-date client records.
  • Ensure all administrative work is completed accurately and within the required turnaround times.
  • Provide assistance and support to other members of the administration team when required.
Minimum Requirements
  • Approximately 2–5 years’ administrative experience.
  • Previous experience within the financial services industry will be advantageous but is not essential.
  • Experience within an independent financial advisory, wealth management or financial planning environment will be highly advantageous.
  • A relevant tertiary qualification is preferred, although strong practical experience will also be considered.
  • RE5, NQF or other financial planning-related qualifications will be advantageous.
  • Exposure to investments, retirement products, life and risk cover or financial planning administration will be beneficial.
  • Valid driver’s licence.
  • Must be comfortable working fully office-based from the Melrose North office.
Skills & Competencies

The ideal candidate will demonstrate:

  • Excellent organisational and administrative skills.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal English communication skills.
  • A professional and confident approach to client interaction.
  • The ability to work efficiently while managing multiple priorities.
  • A proactive approach with the ability to identify and resolve issues independently.
  • Strong follow-through and the ability to take ownership of tasks from start to finish.
  • Reliability, accountability and a strong work ethic.
  • A collaborative and team-oriented approach.
  • A genuine willingness to learn and develop within the financial planning environment.
Ideal Candidate

The successful candidate will be someone who is looking for stability, career development and the opportunity to grow within a professional financial planning practice.

The company places strong emphasis on attitude, reliability, cultural fit and a willingness to learn. While technical knowledge and industry-specific qualifications can be developed, the successful candidate must have a solid administrative foundation and demonstrate the ability to take ownership and responsibility.

This opportunity is particularly suited to an administrator who wants to build a long-term career in financial planning administration, rather than an experienced paraplanner or financial adviser seeking a short-term administrative role.
