Job Description
This is a hands-on, high-trust role for a highly capable senior level professional who can bring structure, discipline, and momentum to a growing company. You will work closely with the founders and external professional advisers, ensuring that the business runs smoothly, commitments are tracked, and nothing important falls through the cracks.
You will work approximately 4 hours per day, with variable starting times to overlap with international stakeholders.
This is not a conventional office administrator role; we are seeking a top-tier operator who can deliver significant leverage and operate with considerable autonomy.
Requirements
- Core Operations & Administration: Own day-to-day office and business operations, systems, records, and administration.
- External Partner Management: Coordinate and manage relationships with external accounting, tax, legal, and other professional service providers.
- Governance & Compliance: Maintain key corporate, legal, financial, and operational documentation, ensuring required filings and actions are completed on time.
- Project & Milestone Tracking: Establish and maintain a simple system for tracking projects, deliverables, milestones, deadlines, and follow-ups.
- Financial Administration: Support budgeting, invoices, payments, procurement, and basic financial administration in partnership with external accountants.
- Logistics & Event Coordination: Coordinate travel, meetings, events, and logistics—either directly where efficient or through trusted external providers where appropriate.
- Process Building & AI Integration: Help build lightweight operating processes as the company grows, utilising modern digital and AI-enabled productivity tools.
- Problem Resolution & Autonomy: Anticipate problems, resolve issues independently, and keep leadership informed without creating unnecessary bureaucracy.
What We Are Looking For
- Experience: 5+ years of strong operations, office management, executive support, project coordination, or business administration experience.
- Organizational Skills: Exceptional organisation, attention to detail, and reliable follow-through.
- Independence: Comfortable working independently in a fast-moving, entrepreneurial environment with limited supervision.
- Commercial Acumen: Strong commercial judgement and the confidence to work alongside senior executives, lawyers, accountants, and other advisers.
- Communication & Tech Skills: Excellent written and verbal communication skills paired with high digital fluency.
- Mindset: A practical, proactive mindset from someone who sees what needs to be done and executes it.
