Job summary

Helderberg Personnel is seeking a meticulous Estate Administration Specialist to manage the full administration process for deceased estates from advertising to finalisation of the Liquidation and Distribution account. You will handle correspondence with the Master of the High Court, SARS, creditors and financial institutions, and communicate regularly with families.

The role requires Matric with Mathematics and/or Accounting, a certificate in Estate Administration, and at least three years'

Qualifications

  • Matric with Mathematics, Mathematical Literacy and/or Accounting.
  • Certificate in Estate Administration is advantageous.
  • Minimum three years' experience in estates administration.
  • Experience using LegalEase is highly advantageous.

Responsibilities

  • Place estate advertisements and ensure they are accurate and timely.
  • Register estates at the Master of the High Court and obtain Letters of Executorship.
  • Register and manage SARS profiles and tax returns for deceased estates.
  • Prepare Liquidation and Distribution accounts for Master approval and address queries.
  • Maintain correspondence with the Master, creditors, and financial institutions.
  • Keep records updated and communicate compassionately with families.
  • Assist with general administration and monitor productivity and accuracy.

Job description

The main purpose of this position is to be responsible for the entire administration process of deceased estates on behalf of the firm's clients, from the placing of statutory advertisements and registration of the estate with the Master of the High Court through to the finalisation of the Liquidation and Distribution account. The role manages all correspondence with the Master, SARS, creditors and financial institutions, and communicates regularly with the families of deceased persons

Requirements
  • Matric, with Mathematics, Mathematical Literacy and/or Accounting
  • A certificate in Estate Administration (will be advantageous)
  • Three years' experience in an estates administration role
  • Experience using LegalEase (highly advantageous)
  • Well-developed organisational skills, with the ability to prioritise daily tasks
  • Attention to detail
  • Ability to communicate clearly, give guidance on administrative tasks and show compassion to family members of the deceased
Duties will include, but not limited to:
  • Estate Advertisements
    • Placing advertisements in local newspapers and the Government Gazette
    • Ensuring advertisements are placed accurately and within agreed deadlines
  • Estate Registration and Executorship
    • Registering the estate at the Master's office, including the preparation of all paperwork required to achieve this
    • Obtaining the Letter of Executorship
    • Completing registrations accurately and within agreed deadlines
  • Estate Tax Administration
    • Registering SARS profiles and completing income tax returns for the deceased (before and after death)
    • Registering the estate for income tax
    • Completing tax returns accurately and within deadline dates
  • Liquidation and Distribution Accounts
    • Completing the Liquidation and Distribution (L&D) accounts and submitting them to the Master for approval
    • Attending to subsequent memos and queries from the Master
  • Correspondence and Record-keeping
    • Managing all correspondence with the Master, creditors and financial institutions
    • Monitoring and following up on correspondence regularly until the estate is wrapped up
    • Keeping a record of all correspondence, ensuring all records are accurately saved and Greatsoft is updated
    • Communicating regularly, clearly and compassionately with the family of the deceased
  • General Administration
    • Assisting with general office administration, as requested by the Directors
    • Ensuring tasks are administered accurately and timeously
  • Productivity
    • Monitoring own productivity to ensure that it meets the expected standard (60% on average)
    • Productivity is evaluated by drawing reports from Greatsoft
  • General Attitude
    • Displaying an attitude that is reflective of the company's values, as evaluated by the line manager
