Duties include, but are not limited to the following :
  1. Downloading and acknowledging instructions from the bank, perusing and understanding loan conditions, performing and interpreting deeds office and person searches, and opening of the file;
  2. Making initial contact with the client and the linked attorney;
  3. Preparation of loan documents for signature by the client;
  4. Preparing various other conveyancing documents such as related applications, powers of attorney, waivers of preference, resolutions, conveyancer’s certificates, etc.;
  5. Keeping and maintaining a proper diary system of all current matters;
  6. Weekly reporting to clients, bankers, and consultants, and liaising with managing agents and linked attorney firms where necessary;
  7. Preparing lodgement documents and attending to the necessary lodgement arrangements;
  8. Ensuring all loan and related conditions are met for successful registration at the relevant deeds registry;
  9. Attending to all financial aspects of the transaction, including collecting costs/disbursements from clients, passing invoices, and attending to general accounting queries;
  10. Ensuring security documents are returned to the bank promptly after receiving delivery from the deeds office.
Qualifications
  • Matric or equivalent qualification;
  • Secretarial Diploma with excellent typing skills;
  • Minimum of 5+ years’ experience in a conveyancing environment, specifically bonds;
  • Administrative / Management experience.
