About the Role
We are looking for a proactive, detail-oriented, and highly autonomous Estimator & Project Manager to support estimating, procurement, and project delivery for a U.S.-based acoustic engineering company.
You’ll prepare accurate client estimates based on engineering specifications, coordinate vendor quotations, and manage awarded material-order projects through purchasing, scheduling, delivery, and closeout.
You’ll work in JobTread, collaborating with engineering and operations and handing completed estimates to Inside Sales for client follow-up. The acoustic engineer defines the technical solution; your responsibility is to translate that scope into accurate pricing and organized project execution.
This is a 100% remote, 40-hour-per-week position. The team operates in U.S. Eastern Time (EST).
The team needs someone who demonstrates initiative, drive, and self-discipline. You should be comfortable identifying next steps, following up independently, and addressing obstacles before they delay delivery.
Responsibilities
- Prepare complete client estimates in JobTread using engineering specifications and defined project scopes.
- Apply accurate quantities, unit costs, cost codes, and markups.
- Review calculations, scope details, and supporting documentation before finalizing estimates.
- Request and compare vendor quotations, including pricing, lead times, freight, and minimum order requirements.
- Identify pricing changes and flag potential risks to project margins.
- Clarify incomplete or conflicting scope information with the engineering team.
- Hand completed estimates to Inside Sales with clear notes on scope, assumptions, and pending client decisions.
- Manage awarded material-order projects from procurement through delivery and closeout.
- Issue purchase orders, confirm vendor acknowledgments, and track shipments.
- Resolve backorders, coordinate substitutions with the appropriate team members, and follow up on vendor commitments.
- Schedule deliveries and coordinate installation timing.
- Track project progress, identify delays early, and communicate their impact.
- Maintain accurate budgets, project statuses, cost codes, and closeout documentation in JobTread.
- Work closely with Operations on document control and job setup.
- Participate consistently in scheduled meetings and communicate proactively with the team.
What We're Looking For
- Experience in estimating, procurement, construction project coordination, or a related role.
- Ability to interpret technical specifications and translate defined scopes into accurate estimates.
- Strong numerical skills and attention to detail when reviewing quantities, costs, and margins.
- Experience requesting vendor quotations, managing purchase orders, and coordinating deliveries.
- Strong organization and the ability to manage multiple estimates and projects simultaneously.
- Clear spoken and written English for communication with a U.S.-based team and vendors.
- Comfortable using estimating and project-management software; JobTread experience is preferred.
- Demonstrated initiative and the ability to move work forward with minimal supervision.
- Strong follow-through, self-discipline, and accountability for deadlines.
- Ability to recognize when an issue requires engineering clarification and escalated it promptly.
- A collaborative attitude and willingness to communicate openly about progress and challenges.
- A reliable computer, stable internet connection, and a suitable environment for remote work.
- Availability to work 40 hours per week.
Do NOT Apply If
- You require constant supervision or repeated reminders to complete responsibilities.
- You wait for instructions instead of identifying and acting on the next steps.
- You struggle with numerical accuracy, cost calculations, or detailed documentation.
- You are uncomfortable following up with vendors and resolving purchasing or delivery issues.
- You struggle to manage multiple deadlines and keep project records organized.
- You make assumptions about unclear technical requirements without seeking clarification.
- You frequently miss commitments or fail to communicate delays.
- You struggle to communicate clearly in English.
- You do not have reliable internet or a suitable remote working environment.
- You cannot commit to 40 hours per week.
