Job summary

PPS is seeking an enthusiastic Coach to provide one-on-one job support to coachees and enhance their skills for optimal task performance. The role also includes owning the quality assurance process for the coachees.

The successful candidate will have a Grade 12 certificate, a 3-year related tertiary qualification, and at least 3 years in Medical Scheme administration, with strong PPSHA process knowledge and compliance.

Qualifications

• Grade 12 certificate is required.
• A 3-year tertiary qualification in a related field is required.
• Minimum 3 years’ experience in Medical Scheme administration is required.

Responsibilities

• Coaching and development of assigned coachees and maintain productive relationships.
• Identify areas for improvement from performance appraisals and quality reports.
• Set coaching goals and development actions to reach required standards.
• Plan and conduct GROW sessions and keep accurate coaching records.
• Provide on-the-job training to close knowledge gaps.
• Communicate QA feedback using prescribed tools and reports.
• Compile daily stats with consultants for performance monitoring.
• Evaluate consultants’ work against SOPs and Scheme Rules.
• Maintain SOPs and work instructions to standardise processes.
• Monitor billing accuracy, allocations, arrears and reconciliations.
• Support consultants in resolving complex queries and discrepancies.
• Maintain positive relationships with employer groups and coaches.
• Promote cross-team collaboration to uphold service standards.
• Ensure confidentiality and compliance with POPIA and FSCA requirements.

Duties and Responsibilities

• Coaching & Development
• Establish a productive coaching relationship with each assigned coachee.
• Identify and analyze areas for improvement based on performance appraisals, DPS reports, and quality assurance.
• Set coaching goals and corrective/development actions to help coachees reach required standards.
• Plan and conduct GROW sessions, “Coaching on the Go,” and One-Minute Coaching sessions; document all coaching activities for accurate records.
• Provide on-the-job training to close knowledge gaps.
• Communicate feedback on quality assurance matters using prescribed evaluation tools and reports.
• Compile and share daily stats with consultants.
• Quality Assurance
• Evaluate and assess consultants’ work using the Administration System and documented processes.
• Monitor service levels and ensure compliance with SOPs and Scheme Rules.
• Compile, collate, and maintain Standard Operating Procedures and Work Instructions to standardize processes.
• Membership & Billing Oversight
• Monitor billing accuracy, payment allocations, arrears management, and reconciliation for employer groups and individual members.
• Support consultants in resolving complex queries and discrepancies.
• Relationship Management
• Liaise with employer groups and other coaches to maintain positive working relationships and resolve queries efficiently.
• Promote collaboration across teams to maintain service standards.

• Maintain confidentiality and compliance with POPIA and FSCA requirements.
