Job summary

Bay FC is seeking a Youth Program Administrator in San Jose to manage daily operations for our youth development program. The role ensures paperwork, scheduling, and travel arrangements for players and families so coaches can focus on development.

Reporting to the Director of Youth Development, you will shape operational systems, policies, and resource planning to support Bay FC’s youth pathway and ensure compliance across programs.

Qualifications

• 2+ years of experience in administrative, operations, or coordinator roles.
• Excellent written and verbal communication skills in English.
• Proficiency with scheduling and database/spreadsheet tools.
• Detail-oriented with strong documentation and compliance follow-through.
• Ability to travel as required.
• Fluent in English; additional languages are a plus.

Responsibilities

• Establish operational standards, templates, and workflows for youth programs.
• Manage registrations, eligibility, medical-clearance, safeguarding, and record-retention processes.
• Coordinate travel arrangements and budgets for players and staff.
• Schedule training, events, and travel, resolving conflicts across teams.
• Liaise between families, players, Bay FC staff, and coaches.
• Support the Head of Youth Development with administrative tasks.
