Job description

Under the direction of the principal, the administrative services assistant will provide administrative support in a wide range of office and school operations; coordinate the flow of communication and information for the instructional program; prepare and maintains a variety of records and reports related to assigned activities.

Requirements Qualifications:
• High School diploma or GED, required
• Bachelor’s degree desired with experience in full-time educational office environment preferred
• Valid Tennessee Driver’s License
• SLPI: ASL rating of Intermediate or above required; SLPI: ASL rating of Advanced preferred.

Terms of Employment: Full time executive 12-month employee

Salary: State of TN Salary Grade J - $3,542 per month

Essential Duties and Responsibilities:

• Serve in a clerical role to provide administrative support to the principal; schedule appointments and meetings, compose letters and memos as directed, maintain flow of forms that come through the office.
• Maintain school calendars and event schedules/information.
• File appropriate paperwork and maintain necessary records; maintain student records.
• Schedule meetings and assist with event planning.
• Receive and distribute mail.
• Answer incoming calls, texts, and video phone calls, take messages and relay information; provide information as appropriate while maintaining confidentiality.
• Collect timesheets and maintain leave balance records for instructional staff, manage time keeping in Aspen and Edison.
• Schedule substitute teachers in the event of teacher absences or meetings and assist substitute teachers by providing schedule, emergency sub plans, classroom access, etc.
• Maintain daily communication of necessary announcements.
• Maintain school supply inventory and replenishment.
• Request quotes and prepare requests for purchases.
• Perform a wide variety of problem-solving tasks to support administration, teachers, staff, and students.
• Work closely with the security guard to manage visitors.
• Manage student attendance and lunch counts in Aspen.
• Run grade reports for midterm and end of quarter report cards.
• Perform other duties as assigned.

Knowledge, Skills, and Abilities:

• Fluent in ASL, preferred.
• Ability to utilize computers and Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, OneNote, etc.), type at an acceptable rate of speed.
• Ability to utilize technology and equipment.
• Secretarial and telephone techniques and etiquette
• Interpersonal skills using tact, patience, and courtesy.
• Ability to multi-task and change tasks rapidly.
• Meet schedules and timelines.
• Organizational skills and ability to maintain a clean workspace.
