Job summary

Global Relay seeks a highly organized Workplace & Events Coordinator to support the New York office. You will oversee workplace services, facilities, vendors, meetings, visitors, and office events under the Manager, Workplace & Office Operations.

Responsibilities include coordinating with building management, managing calendars and invoices, and collaborating with HR/IT/Finance for workplace needs. Base salary range reflects pay in NYC for this role.

Qualifications

  • 2–4 years of experience in workplace operations or a related corporate environment.
  • Strong organizational and prioritization skills with the ability to manage multiple workstreams.
  • Excellent judgment and attention to detail.
  • Clear and professional communication with employees, leaders, visitors, and vendors.
  • Experience coordinating meetings, vendors, catering, or office-based events; proficiency with Microsoft Office.

  • Coordinate with building management and external vendors for maintenance, service delivery, purchasing, and other workplace needs.

  • Maintain workplace calendars, operational records, invoices, vendor documentation, and related information.
  • Support office moves, seating changes, workspace readiness, and other workplace projects as needed.
  • Partner with HR, IT, Finance, Security, Legal, and other teams on workplace requirements and risk escalation.
  • Perform administrative duties through Outlook scheduling assist.

Your role

We are looking for a highly organized and proactive Workplace & Events Coordinator to support the effective operation of our New York office. Reporting to the Manager, Workplace & Office Operations, you will coordinate workplace services, facilities support, vendors, meetings, visitors, and office-based events. This is a hands-on role that requires strong judgment, attention to detail, and the ability to anticipate needs and manage changing priorities as the office grows.

Your responsibilities

  • Support the day-to-day operation of the office, ensuring workplace services, shared spaces, supplies, and facilities needs are coordinated effectively.
  • Coordinate with building management and external vendors to support maintenance, service delivery, purchasing, and other workplace requirements.
  • Manage the logistics for meetings, visitors, and approved office-based events, including space, catering, vendors, access, setup, and on-site coordination.
  • Maintain workplace and event calendars, operational records, invoices, vendor documentation, and other information with accuracy and consistency.
  • Support office moves, seating changes, workspace readiness, and other workplace projects as business and capacity needs evolve.
  • Partner with HR, IT, Finance, Security, Legal, and other teams on workplace-related requirements, while identifying issues, anticipating needs, and escalating risks appropriately.
  • Perform administrative duties through Outlook using scheduling assist.

About you

  • 2-4 years of experience in workplace operations, office coordination, facilities support, event coordination, hospitality, or a related corporate environment.
  • Strong organizational and prioritization skills, with the ability to manage multiple workstreams and follow through reliably.
  • Excellent judgment, attention to detail, and a practical, solutions-oriented approach.
  • Clear and professional communication skills, with confidence working across employees, senior leaders, visitors, vendors, and building partners.
  • Experience coordinating meetings, vendors, catering, or office-based events, and proficiency with Microsoft Office.

Compensation:

Global Relay advertises the pay range for this role in compliance with applicable pay transparency laws. Individual pay rates are determined by evaluating factors such as expertise, skills, education, and professional background.

The range below reflects the expected annual base salary, which is only one element of our comprehensive total rewards package designed to reflect our company pay philosophy, culture and values. Employees receive annual allotted vacation days, which increase based on tenure. Base salary range

$70,000 - $80,000 USD
