Hines is a global real estate investment manager that prioritizes people and innovation. The Workplace Event/Venue Program Manager supports onsite events and gatherings, coordinating with multiple teams and vendors to deliver seamless experiences.

Responsibilities

As the Workplace Event/Venue Program Manager, you will:

  • Coordinate and partner with cross‑functional partners and external vendors to execute onsite events with white‑glove service.
  • Develop and maintain a roster of external event vendor partners for production support.
  • Lead a team of Workplace Experience Coordinators, overseeing resource allocation and professional development.
  • Ensure events comply with building, company, and local requirements including permits, COIs, and alcohol licenses.
  • Liaise with the Landlord and Facilities teams for approvals, permits, and logistics.
  • Meet with stakeholders to review logistics and hand‑hold critical events.
  • Partner with the Employee Engagement team to contribute to curated events.
  • Support after‑hours and high‑priority events.
  • Perform venue inspections and allocate maintenance tickets to relevant teams.
  • Create and maintain venue information, including seating plans and capacity.
  • Track event furniture with the Facilities team to ensure availability.
  • Intake and process event requests, coordinating room booking and ensuring accurate space records.
  • Collect feedback to improve office spaces and amenities.
  • Identify program policy improvements and enhance team communication.
  • Generate monthly reports on program progress and workload metrics.
  • Communicate global and local policies to employees and maintain customer‑facing policy information.
  • Manage people functions for Workplace Experience Coordinators.
  • Create proposals for new projects and events, presenting budgets and supporting documentation.
Minimum Requirements
  • High school diploma or equivalent; bachelor’s degree preferred.
  • Five or more years of experience in event coordination or a related field.
  • Bay Area based – must work onsite five days a week in the San Francisco office.
  • Passion for events and exceptional host and customer‑service values.
  • High level of organization and attention to detail.
  • Strong project management and communication skills, able to manage multiple events.
  • Resourceful, observant, and proactive.
  • Proven track record of managing 3‑5 direct reports.
  • Flexible and adaptable to changing business needs.
  • Proficient with Google Workspace, JIRA, Confluence, and Slack.
