Job summary

Planet Labs PBC is seeking a part-time Workplace Coordinator to own the employee experience at our Arlington, Virginia office. You will blend facilities management, vendor oversight, and community-building to keep our space productive and welcoming for Planeteers and guests.

Reporting to the Director of Employee Experience, you’ll manage space operations, safety, budget, events, and internal communications to support collaboration across our hybrid teams.

Qualifications

  • 4+ years in an admin role (Workplace/Facilities/EA) in a dynamic environment.
  • Ability to manage budgets and vendor relationships.
  • Proficiency with Google Workspace and Jira or similar ticketing systems.
  • Comfort creating engaging employee experiences in a hybrid office.

Responsibilities

  • Own facilities coordination and vendor management with SLAs.
  • Oversee safety, badge access, visitor management and emergency plans.
  • Coordinate IT, office equipment, and network troubleshooting as needed.
  • Manage office supplies, inventory, and budget for the Arlington site.
  • Plan and execute local culture events and engagement activities.
  • Maintain office communications channels (Slack, calendars, digests).
  • Host large on-sites with A/V, room setup, and catering logistics.

About the Role:

The Workplace Coordinator is the owner of the employee experience and the steward of our physical space at our Arlington office.

This is a high-impact, part-time role that is a hands‑on blend of facilities management, vendor oversight, and community building, ensuring our Arlington office is a productive and welcoming destination for all Planeteers and guests.

Reporting directly to the Director of Employee Experience, this role is the operational backbone of our Arlington hub. You'll ensure every aspect of our physical space, from facilities to culture, functions seamlessly to support high-value collaboration in our emerging regional market. Ideal candidates will have passion for creating unique experiences that drive collaboration and fun.

This is a part‑time, in‑office position based in our Arlington, Virginia office 3 days per week, on Monday, Tuesdays, and Thursdays.

Impact You'll Own:
  • Act as the primary liaison between Planet, the building manager, and all service vendors (e.g., HVAC, plumbing, electrical). Manage and triage all facilities‑related tickets (Jira, Landlord Portal) with strict SLAs.
  • Manage the local office safety program, conduct regular building walkthroughs, and administer physical security, including badge access, visitor management, and emergency preparedness.
  • Coordinate with the IT team on network troubleshooting, and ensure the seamless operation of critical office equipment.
  • Own the end‑to‑end inventory management process for all office supplies and kitchen stock, utilizing checklists to maintain appropriate par levels.
  • Own the daily relationships and service quality for all key office vendors (janitorial, catering, supplies, specialized services). Manage contract renewals in conjunction with the Director of Employee Experience.
  • Manage the local office operating budget, process invoices, track expenses, and ensure timely payment to all vendors.
  • Lead the planning and execution of all local office culture events and “moments of connection,” proactively designing experiences that build morale and drive face to face engagement (e.g., wellness programs, themed gatherings, holiday parties).
  • Own and manage all local office communication channels (Slack, Workplace Calendar, weekly digest, month‑at‑a‑glance), ensuring employees are always aware of events, policies, and maintenance schedules.
  • Act as the primary coordinator and host for large internal and external onsites, ensuring A/V, room setup, and catering logistics run flawlessly.
What You Bring:
  • 4+ years of experience in an administration role (such as Workplace or Facilities Coordinator, Administrative Assistant, Front Desk Associate) within a dynamic environment.
  • Ability to thrive and innovate in an ambiguous, emerging office environment, showing resourcefulness and a proactive approach to problem‑solving.
  • Ability to manage a budget, process invoices, and handle multiple vendor relationships simultaneously.
  • Proficiency with Google Workspace (Calendar, Docs, Sheets); Knowledge and/or willingness to master facilities ticketing systems (e.g., Jira), Canva, and basic design software.

    Compensation:

    The US base salary range for this full‑time position at the commencement of employment is listed below. Additionally, this role might be eligible for discretionary short‑term and long‑term incentives (bonus and equity). The final salary range is determined by job related experience, skills and location. The range displays our typical hiring range for new hire salaries in US locations only. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.

    US National Salary Range

    $23.80 — $29.76 USD
