Job summary

Residential Construction Workforce Partnership (RCWP) is seeking an organized Program Coordinator to support daily activities across workforce training programs for residential trades. You will assist the Program Manager with scheduling, documentation, and participant communications, ensuring alignment with funding and timelines.

The role emphasizes data entry, grant compliance support, and coordination with instructors, partners, and participants.

Qualifications

  • Associate’s degree in workforce development or related field.
  • 1–2 years of experience in workforce development, training programs, human services, education, or administrative program support.
  • Familiarity or interest in skilled trades, construction, or apprenticeship programs preferred.
  • Strong organizational skills with the ability to manage multiple tasks, timelines, and details.
  • Effective written and verbal communication skills and the ability to build positive relationships with diverse participants and partners.

Job description

  • Assist the Program Manager with daily coordination of the Contractor Development Program.
  • Help ensure program activities align with established schedules, organizational goals, and funding requirements.
  • Maintain program calendars, track key deadlines, and communicatelogisticsto participants, instructors, and partners.
Operational & Procedural Support
  • Follow established program policies, procedures, and operational workflows andidentifyroutine issues or gaps to share with the Program Manager.
  • Perform regular data entry, document management, and reporting tasks to support consistent and compliant practices across the program.
  • Assistwith basic budget tracking tasks such as processing invoices, collecting receipts, and preparing information for finance staff.
Participant Services & Job Placement Support
  • Serve as a primary point of contact for applicants and participants, responding to inquiries and providing clear information about program expectations, schedules, and requirements.
  • Support recruitment, intake, and admissions processes by scheduling interviews, collecting documentation, and preparing applicant files.
  • Track participant attendance, progress, andcompletionmilestones and flag concerns to the Program Manager.
  • Post-placement follow-up to track outcomes.
  • Maintainaccurateparticipant records in data systems, ensuringtimelyupdates and secure storage of confidential information.
Training Logistics & Partner Coordination
  • Coordinatelogisticsfor classes andtrainings, including room reservations, technology needs, materials, and refreshments as applicable.
  • Communicate regularly with instructors, training providers, and partners to confirm schedules, share attendance information, and address basic logistical needs.
  • Help address routine participant or instructional issues as they arise, elevating more complex concerns to the Program Manager.
  • Attend outreach events for recruitment and placement of participants.
Compliance & Reporting Support
  • Assistwith collecting and organizing documentation required for grant or funding compliance (e.g., sign-in sheets, eligibility documents, outcome reports).
  • Support preparation for audits, monitoring visits, and documentation reviews by compiling files and responding to requests for information.
  • Contribute to the preparation of regular reports by pulling data, drafting basic narrative updates, and verifying records.
  • Work closely with the Program Manager to support continuous improvement of program processes and participant experience.
  • Collaborate with internal teams (finance, data, case management, communications) to share information and coordinate services for participants.
  • Assistwith preparing materials for presentations, meetings, and stakeholder updates.

QUALIFICATIONSRequired
  • Associate’s degree in workforce development, education, public administration, business, human services, or a related field; or equivalent combination of education and relevant experience.
  • 1–2 years of experience in workforce development, training programs, human services, education, or administrative program support.
  • Familiarity or interest in skilled trades, construction, or apprenticeship programs preferred.
  • Strong organizational skills with the ability to manage multiple tasks, timelines, and details.
  • Effective written and verbal communication skills and the ability to build positive relationships with diverse participants and partners.
  • Comfort using data tracking systems, spreadsheets, and standard office software (word processing, email, calendars).
Preferred
  • Experience working in or supporting grant-funded or publicly funded programs.[1]
  • Knowledge of residential trades career pathways or willingness to learn about employer needs and industry expectations.
  • Experience providing direct support to participants, students, or clients in a community-based or educational setting.
  • Awareness of equitable workforce practices and commitment to participant-centered support.

COMPENSATION & BENEFITS

Salary Range: $45,000 to 60,000. Commensurate with experience
