Job summary

Trace Aviation in Flowood, MS seeks an experienced aviation admin professional to create, review, and maintain work orders within the ERP/MRO system for aircraft components and repairs.

You will ensure accurate part numbers, scopes, and routing, monitor order lifecycles, and coordinate with manufacturing, quality, and engineering teams to meet customer requirements and regulatory standards.

Responsibilities

• Create, review, and maintain work orders within the ERP/MRO system for aircraft components, assemblies, and repair activities.
• Ensure all work orders are initiated with correct part numbers, scopes, customer requirements, and routing information.
• Monitor lifecycle of work orders from release through completion with timely updates and closure.
• Coordinate with production, repair stations, quality inspection, and engineering teams to ensure accuracy of work orders.
• Verify all required documentation is attached and filed (repair instructions, inspection records, certifications, test results).
• Track progress of active work orders and communicate status to internal stakeholders.
• Ensure compliance with FAA regulations, Part 145 Repair Station procedures, and customer specs.
• Identify and resolve discrepancies in data, routing, or documentation.

Description

Essential Job Functions

• Create, review, and maintain work orders within the ERP/MRO system for aircraft components, assemblies, and repair activities.
• Ensure all work orders are accurately initiated with correct part numbers, job scopes, customer requirements, and routing information.
• Monitor the lifecycle of work orders from release through completion, ensuring timely updates and closure.
• Coordinate with production, repair stations, quality inspection, and engineering teams to ensure work order accuracy and completeness.
• Verify all required documentation (repair instructions, inspection records, certifications, and test results) is attached and properly filed.
• Track progress of active work orders and communicate status updates to internal stakeholders.
• Ensure compliance with FAA regulations, Part 145 Repair Station procedures, and customer specifications.
• Identify and resolve discrepancies in work order data, routing, or documentation.
• Support quality assurance by ensuring all work orders meet audit and traceability requirements.
• Assist with prioritization and scheduling of work orders based on operational demand and customer requirements.
• Generate reports on work order status, backlog, and completion metrics.
• Collaborate with inventory and logistics teams to ensure parts availability aligns with work order requirements.
• Support continuous improvement initiatives to streamline work order processing and data accuracy.
• Perform other administrative and operational duties as assigned.

Marginal Job Functions

• Provide general administrative and clerical support as needed.
• Utilize Microsoft Word, Excel, and PowerPoint for reporting and data tracking.
• Assist with data entry, filing, and document control tasks.
• Exercise sound judgment in daily prioritization and workflow management.

SAFETY REQUIREMENTS

• Will participate in and support safety initiatives, safe work practices, and compliance.
• Will participate in safety activities, including immediately reporting hazards, unsafe work practices, and accidents/injuries.
• Will follow all safety rules, FAA regulations, PPE compliance, and equipment operation requirements.

WORKING CONDITIONS

Physical Demands: Requires sitting or standing for extended periods of time. Requires frequent walking, bending, and reaching to shoulder level. Requires occasional squatting, lifting, carrying, pushing, or pulling weight up to 20 pounds. Requires repetitive hand movement. Requires eye‑hand coordination and manual dexterity. Requires corrected vision and hearing to normal range.

Equipment Operated: Ability to operate office machines and equipment and troubleshoot problems with equipment.

Work Location: PAG Offices On‑Site

Protective Equipment Required: May be required to wear PPE when entering shop or production areas.

Potential Hazards: Exposure to materials identified on Material Safety Data Sheets.

JOB SPECIFICATIONS

Knowledge, Skills and Abilities: Strong attention to detail, organization, and communication skills, with the ability to manage multiple priorities and work orders in a fast‑paced environment. Ability to interpret technical documentation and maintenance records, troubleshoot workflow discrepancies, and work effectively both independently and as part of a team. Proficiency in Microsoft Office and experience with ERP/MRO systems preferred. MRO or aviation maintenance experience is a plus.

Education/Training: High school diploma or equivalent required. An associate degree or technical training in aviation, logistics, or business is preferred. On‑the‑job training will be provided for ERP/MRO systems and company‑specific processes.

Experience: 2+ years of experience in MRO, aviation maintenance administration, logistics coordination, or work order management preferred. Experience in FAA Part 145 Repair Station environment strongly preferred.
