Job summary

Adina Eden is seeking an experienced Operations Manager to own the wholesale order flow from PO receipt to payment. You will lead EDI, 3PL coordination, and production follow-up, ensuring on-time shipping and accurate invoicing across TJX, Ross, Burlington, and other accounts.

Ideal candidates have hands-on EDI, experience with factoring, and a track record of driving process improvements in a high-ownership role for consumer goods.

Qualifications

• 3-7 years in wholesale operations, logistics, or supply chain with ownership of order-to-cash workflow.
• Hands-on EDI experience: reviewing, reconciling, transmitting ASNs/invoices.
• Experience coordinating with a factor and credit approvals.
• Experience managing 3PL partners remotely with SLA/routing compliance.
• Strong Excel skills and ability to learn ERP/IMS/EDI/VAN platforms.

Responsibilities

• Own order-to-cash for 100+ open orders from PO entry to invoicing.
• Oversee EDI end-to-end, 850 reviews, discrepancies, and 856/810 transmissions.
• Coordinate with factoring, credit approvals, and remittance reconciliation.
• Dispute and manage chargebacks and deductions; build prevention processes.
• Manage shipping docs, packing lists, and international docs (FOB/FCR).
• Coordinate barcode/packaging with overseas factories; production follow-up to protect ship dates.
• Oversee 3PL submissions, routing guides, and SLA adherence for major retailers.
• Maintain inventory accuracy with 3PL reconciliations and ATS data.
• Handle new account/item setup including UPC/product data and catalogs.
• Support returns processing and credits; provide end-to-end visibility to leadership.

Job description

Adina Eden is a fast-growing jewelry and accessories brand sold at TJ Maxx, Ross, Burlington, Shopbop, Revolve, and more. We're looking for an experienced operations manager to own and continuously improve our wholesale order flow end-to-end - from the moment a PO lands to the moment we're paid for it. This is a high-ownership role: you'll be the single point of accountability across EDI, shipping, our factor, our 3PLs, and our overseas factories, and the person leadership relies on to know exactly where every order stands.

What you'll own:

• Order-to-cash for 100+ open sales orders - PO entry, allocation, and order management from receipt through invoice
• EDI end-to-end - reviewing inbound 850s, reconciling UPC/price/quantity discrepancies before they become chargebacks, and transmitting ASNs (856) and invoices (810)
• Factor coordination - submitting invoices for assignment, securing credit approval before shipping new or expanded accounts, and reconciling remittances
• Chargeback and deduction management - disputing, recovering, and building process to prevent repeat hits (this is a recovery target, not just a cleanup task)
• Shipping documentation - UCC-128 labels, BOLs, packing lists, and commercial/international docs (FOB/FCR)
• Barcode and packaging coordination with overseas factories
• Production follow-up to protect ship dates and ex-factory windows
• 3PL management - inbound submission templates, shipment coordination, routing-guide compliance for TJX, Ross, Burlington, and other major accounts, and holding partners to SLAs and ship windows
• Inventory accuracy - reconciling with the 3PL, resolving discrepancies, and keeping ATS/availability current for sales
• New account and item setup - onboarding retailers, creating UPC/product data, line-sheet and catalog info
• Returns - issuing and tracking RAs and credits
• Reporting and visibility - open-order, allocation, and shipping-forecast reporting to sales and leadership; end-to-end tracking from China ex-factory through domestic delivery
• Process ownership - documenting SOPs and improving the workflow as we scale

Requirements:

• 3-7 years in wholesale operations, logistics, or supply chain, ideally with ownership of a full order-to-cash cycle
• Hands-on EDI experience - reviewing, reconciling, flagging, and transmitting (ASNs, invoices)
• Experience coordinating with a factor (invoice submission, credit approval, chargeback/deduction resolution)
• Experience managing 3PL partners remotely and holding them to routing/SLA compliance
• Strong Excel skills and comfort learning operations software (ERP/IMS, EDI/VAN platforms, retailer portals)
• Experience with off-price retailers (TJX, Ross, Burlington) is a plus - any major wholesale account background is welcome
• Industry flexible - footwear, beauty, apparel, or any consumer goods translates directly
• Self-directed and process-minded, comfortable being the person who owns the answer rather than escalating it
