Job Description

The Welcome Coordinator at Oak Street Health plays a crucial role in creating an inclusive and welcoming environment for patients and guests. This position ensures that every individual who walks through the clinic's doors receives a positive first and last impression. As the face of the clinic, Welcome Coordinators are responsible for maintaining efficient center operations while delivering an exceptional patient experience.

They perform a variety of administrative tasks that support the broader team in providing high-quality care and making Oak Street Health a great place to work. Responsibilities include scheduling patient appointments, managing inbound and outbound calls, handling administrative duties such as fax and mail distribution, and maintaining a friendly, flexible attitude to meet patient and clinic needs.

Welcome Coordinators report directly to the Practice Manager and focus on creating a seamless experience for patients and community members. They interact closely with patients, assisting with visit check-ins, required forms, co-pay collection, updating patient information in electronic medical records, and managing phone lines. They also maintain the cleanliness of the Welcome and Community Room areas and may occasionally support other centers regionally.

This role is vital to Oak Street Health's mission to provide personalized primary care for older adults on Medicare, emphasizing quality care and community engagement.

Responsibilities
  • Welcoming patients and guests
  • Conducting visit check-in and assisting patients with required forms
  • Collecting co-pays
  • Updating patient information and making changes in electronic medical records
  • Scheduling/rescheduling appointments within electronic medical records
  • Managing phone lines by answering, taking messages, and conducting outbound calls as instructed
  • Managing faxes in the electronic fax platform
  • Maintaining cleanliness of Welcome and Community Room areas
  • Occasionally floating to other centers in the region as needed
  • Performing other duties as assigned
Requirements
  • Strong computer skills and basic knowledge of Google Suite
  • Professional phone etiquette
  • Fluency in Spanish preferred
  • US work authorization
Nice-to-haves
  • Experience in customer service strongly preferred
  • Some college education preferred

Anticipated Weekly Hours: 40

Time Type: Full-time

Pay Range: $17.00 - $34.15 per hour, depending on experience, education, and location. This role may include bonuses, commissions, or incentives.
