Position Summary

The Welcome Center Front Desk Clerk serves as the first point of contact for students, parents, staff, and visitors at Shoal Creek Elementary School. This position plays a vital role in creating a welcoming, safe, and efficient school environment by providing exceptional customer service, managing daily office operations, facilitating communication, and supporting school administration. The Welcome Center Front Desk Clerk ensures that all visitors, calls, records, and communications are handled professionally, accurately, and confidentially while promoting a positive image of the school.

Essential Duties And Responsibilities
Customer Service & Communication
  • Greet and assist students, parents, staff, community members, and visitors in a professional, friendly, and respectful manner.
  • Serve as the primary point of contact for inquiries regarding school procedures, events, programs, and general information.
  • Answer, screen, and direct incoming phone calls while maintaining a courteous and professional demeanor.
  • Take and relay messages accurately and promptly to appropriate staff members.
  • Respond to general inquiries via phone, email, and in-person interactions.
  • Support clear and effective communication between the school, families, and district departments.
Front Office Operations
  • Manage daily front desk operations and maintain an organized, welcoming reception area.
  • Monitor visitor traffic and ensure all guests follow district and school safety protocols, including visitor check-in procedures.
  • Issue visitor badges and maintain accurate visitor logs.
  • Assist with student check-ins, check-outs, late arrivals, and early dismissals according to school procedures.
  • Coordinate front office activities to ensure efficient workflow and positive customer experiences.
Administrative Support
  • Maintain accurate records, files, and documentation related to student attendance, visitor logs, and office correspondence.
  • Assist with data entry, filing, copying, scanning, and document preparation.
  • Support school events, registration activities, and family engagement initiatives as needed.
  • Distribute mail, packages, and school communications to appropriate staff members.
  • Assist administrators and office personnel with special projects and daily operational tasks.
Student and Family Support
  • Provide assistance to students who report to the front office for illness, transportation changes, or other needs.
  • Help families navigate enrollment, registration, attendance, and school procedures.
  • Maintain positive and professional relationships with students, parents, and staff.
  • Demonstrate patience, empathy, and a commitment to providing excellent service to all stakeholders.
Safety and Confidentiality
  • Adhere to all district policies, school procedures, and confidentiality requirements related to student and personnel information.
  • Assist in maintaining a secure campus by following visitor management and student release procedures.
  • Report concerns regarding safety, security, or student welfare to appropriate administrators.
  • Exercise sound judgment when handling sensitive information and situations.
